This position is ideal for someone who takes pride in producing high-quality results and finds satisfaction in bringing clarity and control to a fast-paced, ever-changing environment.
You’ll support our Service Team by managing the administrative and scheduling functions for service work orders, ensuring compliance, accuracy, and seamless coordination across departments.
If you’re analytical, structured, and thrive in an environment that values accuracy, teamwork, and accountability, this role will feel like home.
What You’Ll Do
- Open, manage, and track service work orders (SWOs) while maintaining clear communication with service managers and internal teams.
- Schedule service work and installations with customers and technicians, managing updates and changes efficiently.
- Partner with management to oversee workflow and project progress, ensuring deadlines and quality standards are met.
- Review and analyze quotes and customer requests to ensure accuracy and compliance.
- Record, track, and reconcile technician time, travel expenses, and service documentation.
- Invoice service work orders accurately and verify that totals match purchase orders and customer requirements.
- Resolve any billing or service order discrepancies and assist with AR inquiries through resolution.
- Coordinate across departments to promote collaboration and timely service delivery.
- Organize and prioritize multiple requests in a fast-paced environment.
- Perform other administrative and support duties as assigned.
Who You Are
You are dependable, organized, and motivated by structure and accuracy. You communicate directly and clearly, take ownership of your responsibilities, and work best in an environment where consistency and detail matter.
You’re energized by problem-solving, enjoy juggling multiple priorities, and take pride in seeing your efforts directly contribute to a team’s success. You stay composed under pressure and maintain a steady, focused approach — even when challenges arise.
Required Skills, Experience & Abilities
- High school diploma required; associate degree or higher preferred.
- 1–3 years of related administrative or service coordination experience.
- Background in maritime or energy industry (preferred).
- Strong customer service orientation with excellent communication skills.
- Ability to read and interpret technical documents or drawings (preferred).
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and ERP systems.
- Excellent organization, time management, and multitasking abilities.
- Ability to work both independently and collaboratively in a fast-paced setting.
Why You’Ll Love Working Here
You’ll be part of a team that values structure, precision, and collaboration. Your attention to detail and ability to keep things running smoothly will directly impact our success and customer satisfaction.
