We're looking for an Office Administrator to help keep our Austin office humming—creating a welcoming, well-organized space where people can focus, collaborate, and thrive. This is an in-office role (9am - 5pm, Monday - Friday) that requires consistent on-site presence and proactive ownership of all office operations.

You’ll be the go-to person for keeping things running smoothly: from managing supplies and tech setups, to greeting visitors, supporting new hires, and bringing our team together through fun and thoughtful events. You’ll also play a key role in helping coordinate candidate interviews and ensuring they have a great first impression of Zello.

What You'Ll Do

  • Own the daily rhythm of the office: Ensure the workspace is clean, stocked, organized, and ready for the team each day — from supplies and mail to kitchen upkeep and shared areas.
  • Be the face of the office: Greet visitors, support vendors, and create a professional, welcoming first impression for everyone who walks through the door.
  • Plan and execute events: Own logistics for internal gatherings and external-facing events — from in-office celebrations and company offsites to customer meetings and tradeshows — ensuring each experience is seamless, on-brand, and reflective of our culture.
  • Lead onboarding experiences: Prepare workspaces, tech setups, and first-day logistics and in-office onboarding sessions so new hires feel supported, informed, and excited to join Zello.
  • Manage recruiting coordination: Schedule interviews, communicate clearly with candidates and hiring managers, and ensure every step is accurate and on time — whether onsite or virtual.
  • Support scheduling and operations: Manage calendars, travel coordination, and day-to-day administrative tasks with precision and follow-through.
  • Ensure tech readiness: Keep conference rooms, A/V equipment, and meeting tools running seamlessly so collaboration never stalls.
  • Connect the dots: Anticipate needs, route information effectively, and make sure details and deliverables land where they should.
  • Step up and solve: You take ownership, jump in wherever needed, and make sure things get done — no task too small or detail overlooked.

  • Comfortable lifting up to 25 lbs and handling light office setup tasks as needed.
  • 2+ years of experience in an office administration, operations, or facilities coordination role (in-office experience required); associate’s or bachelor’s degree a plus but not required.
