Starting in January 2026- Train in our Playa Vista office then transition to our new office in El Segundo!
The RolePerforms duties as the Receptionist by being the first face of the agency, maintaining our office environment, facilities, and assisting other departments as needed. This includes the ability to multi-task in answering the main phone line, opening the front door, greeting clients, visitors, and guests that come to Canvas Worldwide. This role will also be the main backup to the coffee bar barista. This position also offers Facilities support to the other Canvas offices across the country. Key Duties & Responsibilities:· Welcoming clients and visitors to the office and assisting them as needed · Answering the phone with professional etiquette · Stocking the kitchen(s) and ordering related products and F&B to maintain an attic stock supply · Nightly removal and charging of iPads and set up in the mornings · Receiving all mail (from mailbox) and courier packages and distributing to the appropriate departments · Cleaning out coffee machines and restocking coffee supplies and snacks throughout the day. · Validating parking for candidates, clients, Innocean staff, and special guests · Ensuring front desk area is neat, presentable, and furnished with all the necessary supplies · Assisting Sr. Facilities Coordinator in keeping our Canvas Hub updated · Assisting Sr. Facilities Coordinator in keeping the space neat and tidy · Reporting any updates or issues that need addressing to the Facilities Manager or Facilities Director · Assisting Sr. Facilities Coordinator with event management (internal and external), including set up and take down · Assisting in processing and tracking of US mail, FedEx, UPS · Establishing and maintaining vendor relationships · Daily inventory of office supply closets and restocking as needed · Supply ordering to include coffee bar supplies · Dressing professionally for a front desk position (business casual) · Working hours will be rotating between 8am to 5pm shift and 9am to 6pm shift · Preparing the weekly Facilities Report with data as directed by Facilities Director · Upholding and carrying out company and Facilities policies and procedures · Identifying seating and preparing location for new hires (also supplying new hire swag) · A/V set up and support · Preparing for staff arrivals and departures · Workorder management · Acting as the full back up support to the Sr. Facilities Coordinator · Acting as the full back up support to the coffee bar barista · Performing other duties as assigned by Facilities Director Qualifications: · Maintain composure in working with manager, executives, clients, staff, and the public, occasionally under conditions of urgency and pressure · Preferred experience working in a mid to large office setting · Ability to handle multiple tasks concurrently · Ability to prioritize · Ability to handle confidential information with a high level of professionalism and discretion · Strong written and verbal communication skills · Great interpersonal skills, proactive, flexible and with strong decision-making abilities · A positive, outgoing, and can-do attitude · Be part of a team that ensures professional, friendly, energetic, and solution-oriented delivery of service excellence · Work independently, often with minimal direct supervision Physical Activity and Work Environment· Walking, reaching with hands and arms, stooping, kneeling, lifting, moving, crouching and crawling · Ability to walk the premises weekly and note any safety or repair issues or concerns · Ability to lift, carry, push, pull, and move up to 30lbs. without issue Experience & Education:Bachelor’s degree Salary and BenefitsActual base salary is determined upon factors such as experience, qualifications, training, certifications, and internal equity. The Company reserves the right to modify this pay range at any time. Base salary is part of a total rewards package that includes highly competitive benefits like generous medical, dental, vision, pet insurance, commuter benefits, disability and life insurance coverage, 401(k) matching, up to 14 holidays per year, a “Do Good Day,” and unlimited PTO.
