Purpose
The Administrative Associate supports the MS Technology Commercialization (MSTC) program by coordinating logistics for class weekends, program events, and international trips; providing technical and administrative support to faculty, staff, and students; and assisting with communications, purchasing, and office operations to ensure smooth program delivery and a positive experience for all stakeholders.
Responsibilities
- Provide administrative support for class weekends, including assisting faculty with payments and course preparations. Assist with MSTC program delivery and program events. Assist Program Director/s and Academic Program Coordinator with the planning, coordination and implementation of residency weeks, international trips, graduation, speaker series, information sessions, networking events, and other program events both virtual and in-person. Provide students, faculty and staff with on-site technical assistance and support on media equipment during class weekends (approximately two weekends per month).
- Provide Administrative support to MSTC staff including calendar maintenance, appointment & EMS room scheduling, request/track RTAs, reimbursements, purchase/payment requests, write/edit documents, serve as front desk/receptionist and other support duties as required. Remain up-to-date on administrative functions and program needs.
- Update and maintain alumni e-mail list and assist in coordination of student and alumni outreach and program communication.
- Maintain office inventory. Order office supplies. Assist with purchasing and outgoing mail/shipment of program merchandise and to students, guest speakers and invited guests, and alumni and other program ambassadors.
Required Qualifications
- Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level.
- Demonstrated ability to assess workload, prioritize tasks, and meet deadlines to successfully manage concurrent projects with accuracy.
- Self-starter and self-reliant and ability to work both independently and as part of a team.
- Demonstrated proficiency in organizing and recording data.
- Excellent interpersonal, verbal, and written communications skills.
- Strong attention to detail and demonstrated organizational and analytical skills with previous success solving problems.
- Regular and punctual attendance required.
- Previous success in a customer service environment
- Experience with Microsoft Office Suite.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
- Education/Experience beyond the required.
- Advanced knowledge of Microsoft Office Suite, especially with Excel.
- Experience with UT Mainframe and web functions, and other UT systems.
- Experience coordinating events and processing travel vouchers including travel for special guests/staff.
- Experience working effectively within UT's administrative infrastructure.
- Experience with business support functions in a university academic department or executive office.
Experience Maintaining Budgets.
Salary Range
- $43,000 + depending on qualifications
Working Conditions
- Works in a standard office environment with repetitive use of a keyboard at a workstation.
- Occasionally lifts/moves boxes weighing up to 45 pounds that arrive to the MSTC Program Office.
- Typical Work Shift is Monday - Friday, 8am – 5pm. Some evening and weekend hours may be required during peak periods and special events.
- This is an Austin, Texas-based position.
