We are currently seeking a Planning & Administrative Specialist to join us.

The new Planning Team Member will play a crucial role in the success of Planning Office team. They will work closely with the Audit department as well as several support teams within our company and Planning office team members to develop, coordinate, and implement effective audit planning.

Act as a point of escalation if the Inventory In-charge encounters complex issues or needs assistance.

What are we looking for?

  • University degree (preferably in Economics, Administration, Management, or a related field);
  • 2–3 years of experience in administrative, back-office, reporting, or operational support activities;
  • Strong knowledge of Microsoft Excel, PowerPoint, and Word;
  • Good organizational, communication, and task prioritization skills;
  • Attention to detail and willingness to work in a dynamic and collaborative environment;
  • English – advanced level (both written and spoken).

What will you do?

  • Support the planning team in managing and maintaining project and resource data in internal systems;
  • Prepare and deliver regular reports and summaries for management and leadership teams;
  • Monitor and update project information, budgets, and engagement details to ensure data accuracy and consistency;
  • Collaborate with HR and other internal departments to align on staffing changes, new hires, and leavers;
  • Provide first-level support for internal planning tools and assist in troubleshooting user issues;
  • Participate in the testing and implementation of new system features or updates;
  • Create and update PowerPoint presentations and reports for management meetings;
  • Track and report subcontractor activity and hours in collaboration with the finance and audit teams;
  • Maintain and update team calendars, project timelines, and key planning documentation;
  • Prepare and maintain documentation supporting internal controls and compliance requirements;
  • Work closely with other members of the Planning Office to analyze needs, allocate resources efficiently, and ensure smooth execution of plans.
