Job Description Summary

Under limited supervision, the person in this role provides general administrative support to the Mall Management staff. The Assistant Property Manager collects, compiles, and analyzes moderately complex data and information, prepares presentations, and composes straightforward written descriptions of results. Interaction is driven by foot, telephone and mail traffic. Foot traffic consists of the general public, merchants and tenants, maintenance and contractor personnel, security and police personnel and related persons to each of those categories, all day long. The majority of tasks require independent planning and prioritization. The Assistant Property Manager must be able to evaluate alternatives, choose best practices and complete tasks in the most efficient manner.

Job Description

Responsibilities

  • Perform high-level, administrative work, including frequent complex and confidential clerical work organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information
  • Administrative support for property financial cycle as relates to Accounts Payable and Accounts Receivable, Tenant Sales, property budget, contract preparation
  • Manage/track/update Insurance Certificates for any/all Tenants and/or vendors
  • Oversee maintenance of work order and purchase order systems
  • Assist in budgeting and lease administration activities
  • Study management methods to improve workflow, simplify reporting procedures and process, and implement cost reductions
  • Coordination and support with short-term license agreements, tracking and reviewing milestones of lease agreements
  • Research, prepare and edit reports and presentations
  • Assist in implementing property activities, internal and external
  • Contact is with executives, managers, other employees, tenants, and customers mainly to assist with information exchange, problems and requests
  • Support and administration of marketing events, promotions, sponsorships, collateral management
  • Assist in daily business of managers, which includes general office work, answering phones, greeting guests, sorting and distributing mail, ordering and maintaining inventory of office supplies and equipment, managing file systems
  • May direct services, such as maintenance, repair, purchasing and replenishing supplies,
  • Schedule meetings/conference calls and appointments
  • Prepare, maintain and distribute activity and event lists
  • May operate as management office support person for localized IT issues
  • Other duties as assigned 

Qualifications

  • High school diploma or equivalent, some college or professional school; Bachelor's degree preferred
  • 4-6 years of experience in an administrative support role in a fast-paced environment
  • The ideal candidate will possess the following characteristics: highly organized, attention to detail, team player, strong communication skills, ability to work under pressure and meet deadlines, goal oriented and a self-starter.
  • Ability to read, write, interpret and analyze documents such as leases, contracts, operating and maintenance instructions, and procedure manuals.
  • Excellent communication skills, including ability to speak effectively with shoppers, tenants, vendors and team members
  • Excellent business writing and verbal communication skills
  • Proficiency in Word, Excel, PowerPoint and Outlook.  Knowledge of Building Engines and Nexus is a plus.

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to stand and walk for extended or continuous periods of time. They must be able to ascend and descend staircases, ladders, and/or step stools and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly operate office machinery.
