The Office of Events and Programming (OEP) is seeking a highly motivated, technically skilled, and creatively driven recent graduate to join our team as the Digital Events & Event Communications Fellow. This one-year position (with an option to renew for a second year if mutually agreed upon) offers immersive on-the-job learning in digital event production, email communication, CRM tracking and reporting, and media creation. The Fellow will play a key role in producing high-quality digital, hybrid, and in-person events while also serving as the technical lead for our team’s event-related communications. Reporting to the Digital Events Manager, the Fellow will collaborate across campus and College Relations teams and contribute to building and documenting sustainable processes for future success.

Responsibilities
  • Digital Event Production & Technical Support
  • Plan, produce, and independently run digital and hybrid events using platforms such as Zoom, OBS, and YouTube.
  • Support livestreamed and recorded events for College Relations, the President’s Office, and other campus partners.
  • Collaborate with presenters to ensure technical readiness, including video/audio checks and run-of-show coordination.
  • Build and operate livestream or recording overlays, slides, and graphics using Canva or Adobe Creative Suite.
  • Collaborative Hybrid Meetings
  • Provide technical and logistical support for high-level hybrid meetings, including the Davidson College Board of Trustees and Alumni Association Board.
  • Coordinate across departments to ensure smooth delivery, clear communication, and a high-quality participant experience.
  • Email Communications & CRM Management
  • Create and send strategic event communications, including invitations, reminders, final details, and thank-you messages.
  • Assist host offices in creating clear, informative, and impactful messages, offering creative writing support and guidance on important content when needed including adherence to the Davidson College Style Guide for consistency and clarity.
  • Serve as the lead email communications coordinator for OEP and partner teams within College Relations, including Development, Donor Relations, and the Davidson Athletic Fund.
  • Take ownership of the communications/email processes in OEP, actively assessing current processes and identifying opportunities for improvements.
  • Use Blackbaud CRM and BBIS to manage email lists, run reports, and track event registration and attendance data.
  • Monitor email performance and maintain consistent, timely outreach aligned with event timelines.
  • Creative & Administrative Support
  • Design digital assets for event promotion and livestream environments using tools such as Canva and Adobe Creative Suite.
  • Edit event recordings using Adobe Premiere Pro for distribution to stakeholders or external audiences.
  • Partner with colleagues in Tech Services, Technology & Innovation, and College Communications to support cross-functional initiatives.
  • Assist with equipment inventory, setup, and in-person event execution as needed.
  • Co-develop documentation for recurring processes and best practices to ensure consistency and scalability.
  • Utilize project management software like Trello to organize tasks and manage workflow efficiently

Qualifications

  • Bachelor’s degree required.
  • Must be a recent graduate (within the last two years), with strong interest in communications, events, technology, and/or media production.
  • Tech-savvy with a demonstrated ability to quickly learn and adapt to new software systems. 
  • Experience with Zoom, Microsoft Office, and Google Workspace required. 
  • Availability to work occasional evenings and weekends. 
  • Valid driver’s license required.

Desired Skills & Abilities

  • Enthusiastic learner with a proactive approach to challenges and a commitment to continuous growth.
  • Excellent verbal and written communication skills, with strong attention to detail and proofreading.
  • Familiarity with CRM platforms (e.g., Blackbaud CRM) and email campaign tools is a plus. Training will be provided.
  • Interest or experience in video editing (Adobe Premiere Pro) and basic graphic design (Canva or Adobe Illustrator).
  • Highly organized, self-starting, and comfortable working both independently and collaboratively.
  • Ability to remain calm and solution-oriented under pressure.
  • Strong customer service orientation and commitment to providing a high-quality experience for event attendees and campus partners.
