Scope Of Position:
The Audience Relations Coordinator is a key member of the Adult Programs team and is responsible for customer service, box office management, front of house staffing, and event support for various Adult Program offerings including select Arts & Letters Live events. The position also manages ticketing and inquiries for additional education programs, including Family and Early Learning Programs, Off-site School Programs (Go van Gogh), and community programs along with preparation of statistical reports for the full Education department.
Essential Functions:
- Serves as the primary staff member responsible for answering the ticketing and registration phone lines, and for processing ticket orders and program registrations (online and by phone).
- Works closely with the Adult Programs team to support museum-wide events such as the Murder Mystery Game, Black History & Culture Celebration, Pride Block Party, Late Night at the Museum, Adult Artist Led Workshops, and more.
- Serves as front-line staff to support audience relations at select Arts & Letters Live events.
- Books offsite school program, Go van Gogh (GVG), generates a monthly GVG schedule, and provides visit confirmations to schools.
- Collaborates with Education staff and other departments, including IT and Marketing to streamline, effectively maintain, and troubleshoot event ticketing, scheduling, and program registration.
- Organizes, edits, and distributes monthly and annual Education Department statistical and analysis reports for all programs.
- Provides custom statistics reports to support grant applications and presentations.
- Answers guest questions and encourages deeper involvement in the Museum by providing information tailored to visitors’ interests, and by connecting patrons with Education staff for more detailed information.
- Communicates regularly and effectively with Education Teams (Adult Programs; Family, Youth, and School Programs; Community Engagement) to maintain comprehensive and current program information and offerings.
- Manages master calendar events for the Education Department.
- Works in Etix (DMA’s ticketing system) to implement protocols for all ticketed and registration programs in the Education Division.
- Inputs and maintains registration and ticketing information in Etix systems.
- Participates in various Education Team and cross-departmental meetings focused on program logistics and customer service, including weekly Operations meetings.
- Monitors select Education Program content on the Web site, evaluates ease of use, and makes web site updates, initiating improvements with Education Teams.
- Assists with various email blasts for the Education Division.
- Contributes to the continued development and promotion of the Museum’s mission and brand.
- Other duties as assigned.
Requirements
Knowledge, Skills, And Abilities:
- High school degree and two years of related experience coordinating, scheduling, and box office required. Bachelor’s degree preferred.
- Experience in arts, museum education, and literature programming is a strong plus.
- Excellent written, organizational, speaking, and interpersonal skills.
- Demonstrated front-line customer service skills.
- Demonstrated ability to handle multiple tasks with a high level of detail, working effectively and efficiently under pressure.
- Conversational skills in Spanish are preferred to support customer inquiries.
- Ability to work well in a team environment, take initiative, and problem solve.
- Demonstrates positive attitude, empathy, a high level of emotional intelligence, and conducts self in a professional manner.
- Accurate typing, calculator, and related box office skills required.
- Skills in Microsoft Office are required. Familiarity with ticketing software preferred.
- Proficiency in advanced Microsoft Excel functions and Microsoft Forms a plus.
- Ability to become proficient with ticketing software (Etix), and content management systems.
- Ability and willingness to work flexible hours including evenings and weekends.
