Role Summary:
Role is responsible for the total day to day operations and functions of Demand/Supply Planning and Distribution. The person must be responsible for making sure that each step of the operations and process is being carried out effectively to rule out lost sales opportunity and costly delays. The person must also ensure that the department process meets the Goods Distribution Practice – Medical Devices requirements.
Accountabilities:
- Demand/Supply Planning Malaysia & Singapore - Directs the process which includes the demand and supply planning via SAP. This includes direct procurement, inventory control, logistics flow from supplier and customs clearance. Ensures that every step of the process is functioning effectively to avoid costly delays and lost sales opportunities. Timing is very important in any supply chain and it’s imperative to always avoid any component out of stock or overstock.
- Distribution Malaysia & Singapore – Managed the various 3PLs involved in the storage, distribution, and transportation of Dialysis Unit inventory to customers. Ensure 3PLs manage the storage of inventory according to good warehouse practices and Goods Distribution Practice – Medical Devices requirements. This includes ensuring proper stock taking practices are put in place and inventory discrepancies are investigated with 3PLs immediately.
- Communication - Must communicate supply chain’s needs and objectives to line managers and key personnel in sales, finance, procurement, warehouse and logistic. Responsible for aligning the entire team to understand the timing & quantities of stock required and individual input necessary to make the process run smoothly. Avoid any miscommunication of expectations that could generate costly delays. Assist, support and facilitate the team’s performance appraisals and training plans. Contribute for the initial hiring and selecting process of team members. Compiling reports on team’s performance and customer feedback. Work closely with team members to solve customer problems. Offers solutions and suggestions for process improvement to management.
- Cost Reduction and Process Improvement – With rapid business expansion, the Associate Director, Supply Chain has an ongoing requirement to review the entire supply chain process. These include but not limited to obtaining cheaper materials without compromising quality or timing of delivery, reviewing customer service SOPs to enhance processes, optimize warehouse management and logistic.
- Customer Service Management – Works closely with Customer Service team who is responsible for the entire sales operations process of Dialysis Unit inventory including the initial system set-up, processing of sales order upon Customer PO receipt and launching of delivery order to meet customers’ delivery date. Ensure the necessary Proof of Delivery (POD) and invoices are submitted on timely manner to the relevant customers’ portals or department. Support documentation on complaints to the QA manager. Ensure proper opening, closing and maintenance of Customer Master database.
- Procurement – Coordinates with the regional procurement team on all the indirect procurement activities of the Company including all procurement activities related to SAP/SRM. The regional procurement team is the custodian of the Company Procurement Policy. Ensuring that the Procurement policy is being effectively enforced and managed within the Company to ensure cost effectiveness is being practice.
- Team Building – The manager will need to train, develop, mentor, and assist his subordinates in all the departments that fall within the supply chain process. It is essential that the various components of the team function effectively. Constant process and employee review is needed to ensure that the process stays cost effective. Supply chain management is an intense, process-oriented career. It is about making the processes of procurement, development, logistics and distribution as cost effective as possible. The chain must be continually evaluated to produce better techniques, cheaper materials and faster processes.
- SAP Systems Improvement – Work with relevant stakeholders to ensure SAP is working according to its setup. Recommend system improvements that could improve overall efficiency of Supply Chain. This should also include ensuring EDI with 3PLs are constantly monitored for failure to avoid delays in order fulfillment.
