Business Overview

Finance and Accounting provide business partnership and specialist accounting and financial analysis support to our investors and our internal teams through: Finance Strategy, Business Planning and Budgeting, Workforce Planning, Fund Accounting, Corporate Financial and Management Reporting, Corporate Tax and Regulatory Reporting, Accounts Receivable and Payable, and Procurement.

Corporate Services provides administration support to the business and manage our office facilities – along with reception, office services and client services.

Our Legal & Tax teams work with the business and our investors to provide support on our global products and services, and the markets in which we operate.

The Role

The role of the Corporate Services Officer at IFM Investors is to deliver a full range of office management services to support the efficient running of the corporate office and to support the corporate team and their external guests. 

This role is based fully in the office, with the option to work from home on some Fridays, subject to the requirements of the role.  Office hours are 9.00am – 6.00pm with a willingness to occasionally work longer hours to support business needs, and with an understanding to be on call out of hours in the event of an emergency.

Responsible for Maintenance & Facilities across the office include:

  • Key contact for cleaning & maintenance related suppliers
  • Arranging all regular and additional service visits
  • Annual PAT Testing
  • Manage annual building shut down process liaising with building management & IT
  • Arranging RAMS, permits & contractor access
  • Willingness to support emergency call outs out of hours if required
  • Liaison with building management for landlord provided maintenance issues
  • Daily floor walks to check across all 3 floors and resolve issues;  escalate IT issues 
  • Work with Office Manager and all associated parties on contract renewals
  • H&S
  • Member of H&S Safety Network & working with OM to support all initiatives & maintain records
  • Utilisation of digital signage for all H&S matters
  • Acting as Chief Fire Warden, and First Aider (optional)
  • Maintaining H&S records
  • Arranging relevant training for appointed staff members
  • Maintain UK H&S information on corporate website
  • Lead new joiners H&S tours and follow up H&S email
  • Conduct Ergonomic desk assessments
  • Attending meetings with key suppliers and maintaining records
  • Support to annual Board Meeting and any other VIP events as required
  • Business Continuity – understand the principles and deputise for Office Manager as required
  • Invoice and credit card processing
  • Printer support and trouble shooting
  • Support and cover absence of the Junior Corporate Services Offer (gain and understanding of this role)
  • As a member of the CS team, work closely with other members of the team and be willing to assist, including Front of House, if required
  • Be an active member of the Global Support Community and contribute to its purpose
  • Any additional adhoc requests by Associate Director, CS, to support the business

Strategic Planning:

  • Provide professional office management services.
  • Demonstrate positive and energetic attitude

Business Performance

  • Provide professional office management services  across multiple disciplines to support the corporate team
  • Assistance to wider corporate services team as required
  • Be an active participant of the Global Support Community

Policy & Process Management

  • Willingness to provide ad hoc general office as identified or required.

Your Background and Experience

  • Experience of office management and facilities
  • A good understanding of a hospitality environment
  • No specific qualifications required
  • H&S related qualifications are desirable
  • Good understanding of the aims of the Group.
  • Understanding of the principles relating to the delivery of office management services e.g. confidentiality, urgency, cost effectiveness, customer service etc.
  • Understanding of financial corporations.
  • Intermediate understanding of Microsoft Office suite.
