Kōrero mō te tūranga - About the role
Te Herenga Waka - Victoria University of Wellington is currently recruiting a Mata ahupae - Senior Office Administrator to join the Campus Operations - Student and Campus Living on a permanent, full-time contract. Enjoy flexible working arrangements, a supportive and inclusive team culture
As our Mata ahupae - Senior Office Administrator, you’ll be the organisational heartbeat of our halls network — making sure everything runs smoothly, efficiently, and with a focus on continuous improvement.
Key Responsibilities:
- Streamline and enhance systems – lead the development, implementation, and ongoing improvement of centralised hall office processes and systems.
- Keep our data sharp – ensure our accommodation database (StarRez) is accurate, up to date, and working to its full potential.
- Own the numbers – manage centralised invoicing and reconciliation processes and oversee payment plan administration across halls.
- Handle payments with precision – process internal payments and refunds in line with University finance policies.
- Drive better ways of working – spot opportunities to improve, simplify, and strengthen processes — and support teams with training and onboarding to make change happen.
Ō pūmanawa - About you
We’re looking for someone who can keep the numbers balanced, the systems humming, and the people around them smiling. In this role, you’ll make sure our financial and administrative processes are accurate, efficient, and student-focused—because great student experiences start with getting the details right. You’ll bring financial know-how, sharp attention to detail, and a practical, solutions-focused mindset to a role where no two days are the same.
Whether you’re reconciling payments, streamlining systems, or helping a student navigate a financial challenge, you’ll do it with empathy, integrity, and a can-do attitude. But here’s the thing—you don’t take yourself too seriously. You know how to have fun while getting things done, bringing curiosity, creativity, and just the right amount of mischief to your work. If you love numbers, people, and the buzz of a busy university environment, come join a team that values professionalism, kindness, and a healthy dose of humour.
