SUMMARY: The Consignment Coordinator- Luxury position combines administrative support, client relations, and consignment management to ensure smooth operations and exceptional client experiences. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, client-focused environment with a passion for luxury goods and auction excellence.

COMPENSATION: $22-24/hr. (Commensurate based on experience).
Essential Duties & Responsibilities
- Assisting with daily operations, priorities, and departmental initiatives.
- Maintain effective communication between the Director, team members, and clients to ensure seamless operations.
- Assisting clients with drop-offs, pick-ups, or consultations.
- Support throughout the consignment process
- Coordinate, monitor, and process incoming consignments; open, verify, and label packages accurately.
- Create and maintain detailed records of items in the HA database.
- Conduct department-wide inventories and ensure accurate property tracking.
- Assist with order fulfillment, shipping requests, and gallery previews
- Create shipping labels and paperwork (invoice/packing slip) and include correct documents with each shipment.
- Receive and unpack incoming consignment items/supplies as needed.
- Schedule and follow up on client appointments promptly and professionally.
- Collaborate with the Director and Business Development team to develop creative outreach and marketing strategies.
- Support pre-auction and event-related client communication
- Analyze auction reports to identify key buyers, new clients, and sellers for targeted outreach.
- Ensure clients receive exceptional, high-priority service.
- Coordinate event logistics such as venue selection, catering, florals, photography, and guest lists.
- Maintain RSVP tracking and assist in ensuring successful department representation at events.
- Manage private sales, boutique operations, and client payments.
- Oversee boutique display rotations and ensure product presentation aligns with brand standards.
- Collaborate with internal teams to support marketing and promotional initiatives aligned with department goals.
- Pack and ship consigned property appropriately, with extra care in handling fragile and delicate items.
- May occasionally lift up to 50 pounds
- Assist in loading and unloading items to our third-party vendor truck.
- Comply with office and property security requirements.
- Comply with office operating procedures.
- Assist with local highlight previews, appraisal days, and other events as needed (assist with event logistics such as catering, supplies, furniture rentals).
Requirements
Education And/Or Experience
- Experience as an administrative coordinator, or in a similar role, preferably in a luxury, retail, or auction house environment.
- Experience or strong knowledge of luxury brands is highly desirable.
- Experience managing social media platforms, particularly Instagram.
- Discretion and professionalism in handling confidential client and business information.
- A genuine passion for luxury goods and the auction industry is a plus.
- Bachelor’s degree in business administration or a related field preferred.
Skills & Abilities
- Excellent attention to detail with the ability to prioritize and multitask effectively.
- Capable of managing multiple projects simultaneously under tight deadlines.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Flexibility to work evenings and weekends as needed to support events, previews, and auction deadlines.
- Proficiency in Microsoft Office Suite, including:
- Word: document formatting, templates, and mail merge
- Excel: spreadsheets, data reporting, and analysis
- Outlook: calendar management, and handling high-volume correspondence
Work Environment:
This is a full-time, on-site position based at the Heritage Auctions New York Office. This position may require occasional evening or weekend work during luxury auctions or special events. The Consignment Coordinator will work in an upscale, professional environment, maintaining the highest standards of appearance and conduct.
