Job Summary

The Office Administrator is based at Leonard Mt. Airy Customer Support Center (CSC), with operations in the U.S., and has overall responsibility for providing administrative support to the Human Resources Department, the CEO, CFO, and the Sr. Vice President of Sales & Operations. This position reports directly to the Sr. Vice President of Sales & Operations and does not have direct reports.

Job Responsibilities

  • Administrative Support for HR & Office Operations:
  • Provides administrative support across various departments, including preparing documents, maintaining records, and handling office communication.
  • Assists with organizing employee engagement activities, office communications, and events.
  • Serves as the point of contact for employee, vendor, and customer inquiries, directing them to the appropriate resources or personnel.
  • Greets visitors, employees, and vendors, manages the reception area, and handles incoming and outgoing mail and packages.
  • Coordinates office maintenance, supplies inventory, and meeting room bookings.
  • Supports the creation and distribution of communications across the organization.
  • Monitors and orders office supplies as needed.
  • Coordinates with vendors and service providers (e.g., office supplies, maintenance, catering) to ensure smooth operations.
  • Assists with managing the office budget, tracking expenses, and ensuring that office operations stay within budget.
  • Reviews invoices and makes sure they align with budget.
  • Ensures office compliance with safety regulations and is kept clean and orderly.
  • Coordinates and schedules meetings, training sessions, and office-related events.
  • Assists with various administrative tasks as needed, supporting the seamless operation of office activities.

Education/Experience Requirements

  • 3-5 years of experience in an administrative or office management role.

Physical Requirements (UPDATE DEPENDING ON POSITION & PHYSICAL REQUIREMENTS)

  • Ability to remain in a stationary position 75% of the time.
  • Ability to type on a keyboard.
  • Ability to hear and talk.
  • Ability to move about inside the office to access filing cabinets, office machinery, etc.
  • Ability to operate a computer and other office productivity machinery, such as a calculator, copy machine, and printer.
  • Requires close vision for computer work and reviewing correspondence.
  • Work is performed in a controlled office, with noise levels within acceptable safety levels, paper, dust, etc.
