- Shift: Regular
- Work Location: Jakarta‑based with frequent travel across Indonesia; periodic site visits as business requires.
- This position requires the candidate to work a 5-day-a-week schedule in the office.
- Travel Requirement: up to 10%
What You Will Do:
- Tender process management: Oversee and manage the entire tender life cycle, including tracking progress, adhering to deadlines, and ensuring all parties are aligned.
- Document preparation and submission: Prepare, format, and compile all bid and tender documents, such as proposals and commercial and technical write-ups. Ensure all documentation is accurate, complete, and professionally presented before submission.
- Compliance and quality assurance: Review tender documents and specifications to ensure the bid meets all legal, regulatory, and quality requirements. Implement version control and document management best practices.
- Coordination with stakeholders: Act as the central point of contact between internal teams (sales, legal, finance, and technical departments) and external clients or vendors. Organize meetings to clarify bid conditions and coordinate input for proposals.
- Opportunity identification and analysis: Monitor tender platforms and websites to identify potential opportunities for the business. Analyze the requirements to conduct a bid/no-bid assessment.
- Reporting and record keeping: Maintain detailed.
- Responding to customer inquiries and providing customer service regarding products and services, addressing issues related to customer orders.
- Performing general administrative duties, including maintaining files, schedules and appointments, for the sales teams. Maintaining database and updating records of contacts, accounts and orders as required.
- Monitor, prioritize and track status of orders to provide updates to customers.
What Skills You Have:
- Administrative and organizational skills: Strong attention to detail and a methodical approach to managing complex documentation and tight deadlines.
- Communication skills: Excellent written and verbal communication skills for effective internal collaboration and client correspondence.
- Technical proficiency: High proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with tender management software or platforms.
- Interpersonal skills: The ability to work collaboratively with multiple departments and stakeholders, including managing demanding timelines and potential conflicts.
- Analytical skills: The capacity to analyze complex tender documents, interpret requirements, and contribute to pricing strategies.
What Will Set You Apart:
- Bachelor’s degree in mechanical engineering, Business Administration, or a related discipline.
- Minimum 5 years of experience in Sales, Marketing, and Services within the Oil & Gas sector.
- Proven experience in tendering, bid coordination, or procurement roles.
- Solid understanding of manufacturing processes and requirements.
- Familiarity with Local Content Verification & Certification procedures.
- Fluency in Bahasa Indonesia and English.
- Knowledge of Indonesian tendering regulations, including PTK 007 SKK Migas.
- Certification in Local Content Verification is a strong advantage.
- Experience with customs clearance in Bounded (FTZ) Areas.
- Proficiency in ERP systems and digital tools for procurement and sales operations.
- Strong learning mindset with a passion for continuous improvement and professional development.
