Job Summary:
Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Completes work with a limited degree of supervision.
We are looking for a talented Administrative Associate (Pacific Time)
In this role, you will make an impact in the following ways:
- Coordinate and maintain preventive and predictive maintenance schedules to minimize equipment downtime.
- Support work order planning, aligning labor, parts, and equipment resources to meet operational priorities.
- Compile, verify, and input data into spreadsheets, reports, and internal databases with high attention to detail.
- Generate maintenance and performance reports, track key metrics (e.g., PM compliance, backlog), and support continuous improvement efforts.
- Provide administrative support including scheduling meetings, arranging conference calls, and responding to internal and external inquiries.
- Prepare vendor documentation, submit payment requests, and respond to accounts payable questions.
- Maintain departmental procedures and documentation to support consistent operations.
- Participate in cross-functional team projects focused on business process improvement.
In order to be successful in this role you will need the following:
- Proven administrative or coordination experience (typically 3+ years), preferably in a maintenance or technical environment.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Proficient with Microsoft Office (Word, Excel, Outlook) and other business systems or databases.
- Solid understanding of preventive maintenance processes and familiarity with work order management.
- Ability to communicate clearly, work cross-functionally, and manage sensitive data with discretion.
- Critical thinking skills and the ability to analyze data, identify issues, and support decision-making.
- High school diploma or equivalent required; additional training or education in business or technical fields is a plus.
Core Responsibilities
- Develop and Maintain Maintenance Schedules – Create, manage, and optimize preventive and predictive maintenance schedules to minimize downtime and maximize equipment reliability.
- Coordinate Work Orders and Resources – Ensure timely planning of work orders, aligning labor, materials, and equipment resources with operational priorities.
- Track and Report Performance – Monitor schedule adherence, analyze maintenance metrics (e.g., PM compliance, backlog), and recommend improvements to planning processes.

- Strong Organizational and Time-Management Skills with the ability to prioritize multiple competing tasks.
- Critical Thinking & Problem-Solving – Ability to evaluate maintenance data, identify root causes, and make sound decisions that balance reliability, safety, and cost.
- Cross-Functional Collaboration – Proven ability to work effectively with operations, parts professionals, sales, and support teams to align schedules and achieve common goals.
Preferred Skills, Education, or Experience
- Technical Knowledge of Industrial Equipment gained through experience in maintenance, reliability, or operations.
- Education, Licenses, Certifications:
- High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
- This position may require licensing for compliance with export controls or sanctions regulations.
- Experience:
- Requires significant relevant work experience or specialized skills obtained through education, training or on-the-job experience.

Base salary rate commensurate with experience.
