Job Summary
The Office Coordinator – Multi-Site Operations - is responsible for ensuring efficient administrative and operational support across multiple office locations. This role includes managing mail and supply logistics, performing bank deposits, and executing all duties as assigned by the Director. The Office Coordinator serves as a key liaison between departments and external vendors to maintain smooth office functions.
Key Responsibilities
- Coordinate office operations across multiple sites, ensuring consistency and efficiency for all office staff
- Manage incoming and outgoing mail for all locations, including sorting and distribution
- Oversee supply inventory and ordering for all sites through the requisition system
- Ensure timely and accurate bank deposits, including daily pickups and nightly drop-offs
- Serve as liaison to vendors including office supply companies, IT support, and maintenance providers
- Assist with meeting scheduling, setup, and teardown across sites
- Maintain key inventories and ensure secure access protocols
- Provide Front Desk Coverage in Owasso location
- Processing paperwork and distributing to appropriate personnel
- Supervise assigned clients in office settings as directed
- Perform other duties as assigned by the Director or Chiefs of Staff
Requirements
Qualifications:
- Must be at least 18 years of age
- Must be able to drive, have and maintain a valid Oklahoma driver’s license.
- Must always have and maintain car insurance coverage.
- Must be able to pass a state and federal background check.
- Must maintain eligibility to operate agency vehicles.
- Physical capacities must include bending, stooping, lifting at least 40 pounds, and the ability to lift, transfer, and position individuals served.
- Must be able to work with frequent interruptions, deal with diverse personalities during difficult/sometimes stressful situations and still complete job assignments.
- Must be able to communicate orally, both over the phone and face-to-face.
- Must be able to prepare and read written documentation as well as perform and understand basic mathematical functions.
- Must follow policy and procedures of A New Leaf, Inc.
- Ensures all individuals served are safe in their environment and program participation.
- Must fulfill all training and in-service requirements necessary to work with individuals served within the timeframe required by A New Leaf, Inc. and the State of Oklahoma.
