The Guest Relations / Front Desk Receptionist serves as the first point of contact for visitors, clients, and employees entering the Tijuana office. This role is responsible for creating a welcoming environment, managing front desk operations, administering security protocol, and supporting various administrative tasks to ensure smooth daily office operations.

Duties And Responsibilities

  • Guest Reception and Customer Service
  • Greet and welcome all visitors in a professional and friendly manner.
  • Ensure that all visitors are escorted through the office.
  • Answer, screen, and direct phone calls promptly.
  • Maintain a clean and organized reception area that reflects the company’s brand.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Schedule and manage meeting room reservations and calendars.
  • Assign lockers to employees.
  • Maintain visitor logs, issue visitor badges, and ensure adherence to security procedures.
  • Follow and enforce company policies for workplace safety and confidentiality.
  • Work closely with Security Officer to ensure that all safety protocols are followed by staff and visitors.
  • Read, acknowledge, and comply with Viamericas Staff Information Security Policy via the Information Security training portal.  This should be done within 30 days of hire and repeated annually.
  • Attend periodic Information Security training provided by Viamericas’.
  • Report any event that might be an Information Security Incident: clicked on a malicious link, downloaded, and opened a suspicious file, etc.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree in business administration, Hospitality, Communications, or a related field preferred.
  • 1–3 years of experience in front desk, receptionist, guest relations, or administrative support roles (preferably in a corporate or professional services environment).
  • Prior experience working in security-sensitive or compliance-driven environments is a plus.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with calendar/meeting room management tools.
  • Experience with phone systems, visitor management software, or security badge systems preferred.
  • Comfortable learning and using office equipment (printers, scanners, etc.).
  • Professional proficiency in English (highly preferred, given client and visitor interactions).
  • Excellent customer service and interpersonal skills, with a warm and professional demeanor.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion.
  • Team-oriented but able to work independently with minimal supervision.
