  • Job Summary
  • The Office Coordinator/Executive Assistant is responsible for management of the Office for both Hill's
  • and Colgate-Palmolive companies including a wide range of services to assure efficient operation,
  • including office facilities, equipment, supplies, maintenance and vendors. The position also provides
  • executive assistance to Hill's and CP GMs in administrative tasks and meeting/events coordination. The
  • position supervises reception activities and reports to HRBP with a dotted line to GMs.
  • Principal Duties and Responsibilities
  • Provide executive assistance to Hill's and CP GMs in daily business activities (incl.
  • administration and meetings/events coordination)
  • Management and maintenance of office location and facilities
  • Monitor and maintain inventory of regular operating materials (stationery, refreshments)
  • Work with and coordinate external providers (cleaning services, hygienic materials for
  • office needs, building maintenance, plants care, couriers, mobile phones, audits, catering
  • services, parking, electricity costs, insurance, firestop and workplace inspections, etc.)
  • Implement and coordinate OHS procedure and training requirements
  • Coordinate car fleet needs
  • Create purchase orders in accordance with assigned budget and ensure invoices are paid in time
  • Travel management (maintenance of Concur system, participation on calls for Travel
  • coordinators, offline bookings, hotel and taxi recommendations and invitation letter
  • preparation, payment cards orders etc.)
  • Support HR department with onboarding / offboarding of employees, training and events
  • organization and other activities. Cover HR Associate tasks if needed
  • Coordinate reception activities, as well as back up Receptionist in case of absence

  • Education/ Experience
  • ● High school education with school leaving exam
  • ● Fluent in English and Czech/Slovak.
  • ● Minimum 3 years’ experience in Office Coordinator positions, preferably from a multinational company.
  • Expected Areas of Knowledge, Skills and Abilities
  • Strong computer skills (G Suite, MS Office), experience with Ariba (PO) system is an advantage
  • Ability to communicate properly to different levels in the organization and outside
  • Strong negotiation skills
  • Willingness to help and support teams
  • Perfect organization skills
  • Initiative and Multitasking
  • Working Relationships (Key partnerships and reporting relationships)
  • Does this position supervise: Yes (Receptionist)
  • Position reports to HR Business Partner
  • Works closely with GM, HR and other teams
  • External vendors
