We serve as fiduciaries, offering services ranging from retirement planning to social security analysis. You’ll be part of a collaborative, client-focused environment where success is measured by helping others achieve their financial goals.

What You’ll Do
Billing & Account Management
• Reconcile billing data with Schwab
• Monitor and verify cash funding
• Link client accounts for billing purposes
• Approve and troubleshoot fee processing
• Pull holdings of client data via Schwab Data Delivery
• Update accounts from billable to non-billable status
Invoice & Payment Processing
• Forward invoices for payment processing
Administrative Backup Support
• Answer incoming calls as part of a backup rotation
• Schedule client and internal appointments
• Process check deposits and withdrawals
• Generate client reports using our software
• Update accounts from billable to non-billable status
Closed Account Processing
• Close account in internal systems
• Dissolve Client Agreements
• Maintain billing closed account spreadsheet
• Record account closure details and update CRM with financial notes
Compliance Support
• Manage and log client correspondence, checks, and gifts
• Input rollover checks for compliance tracking
Client Service & Follow-Up
• Assist with death claim contacts and RMD input/follow-up
• Verify beneficiary designations and bank link activations
• Resolve outstanding client information issues
Partner Support
• Ensure timely 401(k) contributions for partners by the 15th of each month
• Prepare and submit expense reports for Partners
Miscellaneous Tasks
• Update manual assets in CRM
• Change of Broker Dealer
• Provide notary services as needed
• Assist with special projects
HR & Coverage
• Track PTO for team members
• Help ensure appropriate coverage across the team
What You’ll Bring
• 2+ years of experience in financial services, wealth management, or a similar client-facing role is
• Strong understanding of billing processes, account reconciliation, and financial reporting
• Experience with platforms such as Schwab and Black Diamond
• Familiarity with compliance procedures, including documentation, gift tracking, and rollover check processing
• Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and CRM systems
• Ability to manage multiple tasks and priorities in a fast-paced environment
• Strong attention to detail and organizational skills
• Excellent verbal and written communication skills
• Ability to handle sensitive client information with discretion and professionalism
• Bachelor’s degree in Business, Finance, or related field preferred
• Notary Public certification (or willingness to obtain)
• Knowledge of 401(k) administration and RMDs is a plus
• Client-focused mindset with a commitment to delivering high-quality service
• Comfortable working independently and collaboratively within a team
• Proactive problem-solver with a positive attitude
• Able to maintain composure under pressure and manage demanding situations professionally
