About The Role:

Step into a pivotal role at the heart of ATCO’s leadership team! As Executive Assistant to the Vice President of Government Relations and Corporate Affairs, you’ll be the driving force behind executive operations—navigating diverse challenges, orchestrating high-impact initiatives, and shaping the daily rhythm of a top executive.

What You Get To Do:

  • Proactively manage the Vice President’s daily administrative needs, including calendar, correspondence, and meeting preparation 
  • Coordinate meetings, travel (domestic/international), and expense reports; train team members as needed
  • Anticipate requirements and make confident decisions to maintain an organized, effective work environment
  • Prepare, compose, and edit a variety of high-quality documents for executive and board audiences
  • Prepare expense reports for the Sr. VP, Corporate Affairs and Chief Government Officer, and, for the Vice President, Government Relations and Corporate Affairs
  • Work closely with the Sr. Advisor, Government Relations on reporting requirements (monthly lobby reporting; weekly senior executive reporting; government funding reporting; etc.) 
  • Prepare accurate meeting minutes, track action items, and distribute promptly
  • Maintain executive files and departmental records using OneDrive, SharePoint, and/or OneNote
  • Build and sustain positive working relationships with internal and external stakeholders
  • Refer and respond to general inquiries, ensuring alignment with executive priorities
  • Organize group activities, cross-company initiatives, and special projects (events, off-site meetings)
  • Provide creative solutions to improve processes and procedures
  • Oversee facilities requests and communicate updates to the team
  • Support timekeeping processes and generate monthly/quarterly reports

What You Bring:

  • Post-secondary education in business administration or related field preferred; equivalent experience considered
  • 7+ years in senior administrative roles
  • Advanced proficiency in Office 365 and SharePoint
  • Understanding of timekeeping, expense reporting and invoice coding 
  • Highly motivated, proactive, and outcome-focused
  • Able to work independently, exercise sound judgment, and show initiative
  • Strong interpersonal skills; able to collaborate and build relationships across all levels
  • Effective at managing competing priorities in a dynamic environment
  • Analytical, decisive, and able to provide recommendations
  • Interested in mentoring administrative staff
  • Willingness to travel and work extra hours as needed
  • Exceptional organizational, written, and verbal communication skills
  • Self-starter who thrives in a team, requires minimal supervision, and handles pressure well
  • Strong attention to detail and work ethic
  • Maintains confidentiality of sensitive information
  • Skilled at multitasking and prioritizing in a fast-paced environment
  • A valid class 5 driver’s license
