Role Overview

  • AspenView is seeking a highly organized, proactive Executive Assistant to provide direct
  • support to our senior leadership team (CEO, President, Country President Colombia, etc.). In
  • this role, you will manage strategic calendars, coordinate high-stakes travel, liaise with internal
  • and external stakeholders, and ensure top-tier execution of business operations. You will
  • effectively serve as a trusted right-hand partner, filtering requests, anticipating needs, and
  • elevating the productivity of the leadership team.
  • This is a high-impact, high-visibility role: you will frequently interact with clients, partners, and
  • senior executives on behalf of AspenView, so professionalism, discretion, and impeccable

Execution Are Mandatory.

Key Responsibilities

  • Executive Support & Strategic Agenda Management
  • ● Manage complex, multi-calendar schedules (across time zones) for C-level executives.
  • ● Prioritize meeting requests, prep background materials, and handle calendar conflicts proactively.

● Liaise with internal teams to ensure executive decisions are tracked, followed up, and closed out.

● Prepare talking points, briefs, and executive summaries for meetings, board sessions, and client engagements.

Travel & Logistics

  • ● Arrange global travel (flights, accommodations, ground transport, visas) with premium providers.
  • ● Ensure executive travel is seamless, including itineraries, last-minute changes, and contingency plans.
  • ● Coordinate local logistics for visits: transportation, lodging, on-site support, etc.

Stakeholder & Vendor Management

● Serve as a point of contact and brand ambassador for external stakeholders (clients, partners, vendors) when necessary.

● Negotiate, manage, and evaluate contracts or service-level relationships with high-caliber providers (travel, hospitality, event services).

● Build and maintain strong relationships with internal and external teams to support executive initiatives.

Office & Facilities Coordination (Executive Tier)

● Oversee the Bogotá executive office environment to ensure it reflects AspenView’s high standards of professionalism and hospitality.

● Coordinate with facilities, IT, and vendors to maintain executive spaces, meeting rooms, and boardrooms at top quality.

● Interface with IT leadership for executive-level technology setups (secure communications, remote conference tools, hardware) and troubleshoot issues proactively.

Events, Meetings & Programs

● Lead planning and execution of executive offsites, board meetings, client visits, and high-stakes internal events.

● Ensure all logistical, technical, and hospitality aspects are flawless (venue, audio/visual, catering, guest transfers).

● Manage confidential or special projects as assigned by executives—this may include research, partner coordination, or internal rollouts.

  • Reporting, Projects & Decision Support
  • ● Provide executive dashboards, reports, and performance summaries.
  • ● Analyze priorities, risks, and agenda overlaps to inform leadership decisions.

● Conduct or commission ad hoc research to support strategy, proposals, or partnerships.

● Act as a filter and gatekeeper—triaging incoming requests, delegating when appropriate, and escalating when needed.

Qualifications & Experience

Must-Haves

● 5+ years of executive assistant, senior administrative, or comparable roles supporting C-level executives

● Proven experience managing complex, cross-functional calendars and global travel logistics

● Excellent verbal and written communication skills in both English and Spanish

● High emotional intelligence, discretion, and professionalism with sensitive/confidential material

● Ability to work independently, anticipate needs, and make decisions under pressure

● Strong interpersonal skills; comfortable interacting at all levels including board, clients, and partners

● Highly organized, detail-obsessed, resourceful, and proactive

● Bachelor’s degree or equivalent experience

Nice-To-Haves

● Experience in technology, consulting, or high-growth environments

● Event planning, high-level vendor negotiation, or facility management experience

● Exposure to executive project management or strategic initiative support
