We are seeking a highly skilled and proactive Executive Assistant to support our President and senior leadership team.

In this role, you will be a trusted partner, helping manage complex schedules, prioritize critical initiatives, and ensure the smooth operation of the executive office. You will handle confidential matters with discretion, coordinate domestic and international travel, and contribute to the success of our leadership team.

Key Responsibilities

  • Provide comprehensive administrative support, ensuring operational efficiency and productivity across the President’s office.
  • Manage a dynamic calendar of appointments, prepare correspondence, and complete expense reports, including handling confidential or sensitive information.
  • Coordinate complex domestic and international travel arrangements, including logistics related to visas, currencies, cultural considerations, and time differences, in collaboration with the designated travel team.
  • Monitor, prioritize, and respond to incoming emails on behalf of the President as appropriate.
  • Maintain weekly timesheets and track ongoing tasks or projects.
  • Plan and manage the President’s schedule, ensuring commitments are prioritized and respected.
  • Research, track, and follow up on emerging issues or concerns, recommending appropriate courses of action or escalation.
  • Serve as a key communication bridge between the President and internal departments, building credibility and trust across senior management.
  • Collaborate closely with the President to ensure awareness of upcoming commitments, deadlines, and strategic initiatives.
  • Support the development and maintenance of relationships critical to the President’s success, managing special projects with organizational impact.
  • Draft letters, personal correspondence, presentations, and other materials to facilitate the President’s leadership effectiveness.
  • Prioritize conflicting needs, anticipate challenges, and proactively follow through on projects to completion under tight deadlines.
  • Schedule, coordinate, and participate in meetings as required, taking accurate notes and ensuring actionable follow-up.
  • Perform other responsibilities as assigned to support the President and leadership team.

Qualifications

  • 5–10 years of proven experience supporting C-level executives (CEO, President, or equivalent).
  • Bachelor’s degree preferred; equivalent professional experience considered.
  • Exceptional organizational skills with the ability to manage multiple priorities seamlessly while maintaining meticulous attention to detail.
  • Expert-level written and verbal communication skills, including drafting correspondence, preparing presentations, and taking precise meeting notes.
  • Strong interpersonal and relationship-building skills, capable of interacting effectively with stakeholders at all levels.
  • Highly resourceful and proactive, with the ability to independently problem-solve and make informed decisions.
  • Forward-thinking and solution-oriented, with the ability to identify opportunities and recommend improvements.
  • Demonstrated ability to handle confidential information with discretion and maintain professionalism under competing demands.
  • Track record of meeting deadlines and achieving performance goals in fast-paced, dynamic environments.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
  • Experience with SAP is a plus.
