Job Overview:
- Oversees the daily operations of the physician’s office, this role encompasses a diverse
- range of supervisory, clinical, and clerical duties. Key responsibilities include managing staff,
- performance improvement, customer service, accounts payable, electronic billing, as well as
- undertaking additional projects as assigned or identified.
Job Requirements:
Education:
• Required:
o High school diploma or equivalent.
• Strongly Preferred:

Licenses/Certification:
• Required:
o Basic Life Support (BLS).
• Strongly Preferred:
o Current Certified Medical Assistant (CMA), Certified Clinical Medical Assistant
(CCMA), Registered Medical Assistant (RMA) by the American Association of
Medical Assistants (AAMA), American Medical Technologists (AMT), National
Healthcareer Association (NHA), National Association of Health Professionals
(NAHP), American Allied Health (AAH), or equivalent.
Experience:
• Required:
o 3 years of supervisory or Lead experience in the physician's office or hospital
setting.
o 1 year of experience utilizing Electronic Medical Records (EMR).
o 1 year of surgery scheduling experience.
• Strongly Preferred:
o 5 years of supervisory or Lead experience in the physician's office or hospital
setting.
o 1 year of experience utilizing AthenaHealth EMR software.
Job Responsibilities:
Essential Functions:
• Collaborates closely with physicians to uphold a professional office environment while
fostering positive relationships with both staff and patients.
• Collaborates with the Director of Physician Services and Physician Practice Administrator to
develop and adhere to annual budgets and productivity goals.
• Maintains and completes the electronic billing process for the physician's office.
• Communicates with third party payors to verify insurance coverage as required.
• Manages petty cash along with various accounting and banking responsibilities.
• Posts cash payments through the electronic billing system.
• Stays updated on Medicare and Medicaid, Insurance, Health Maintenance Organizations
(HMOs), Preferred Provider Organizations (PPOs), federal agency regulations, and
Occupational Safety and Health Administration (OSHA) standards.
• Actively participates in the interview process for vacant office staff positions.
• Provides staffing and coverage assistance for other offices when possible.
• Maintains and prepares weekly work schedules to ensure adequate staffing levels.
• Proactively addresses potential issues with patients and staff to ensure smooth operations.
• Oversees the daily operations of the physician's office.
• Supervises office personnel and serves as a Customer Service role model.
• Opens and distributes mail.
• Oversees the ordering of supplies.
• Maintains Physician & staff calendars.
• Assists with telephone inquiries regarding general office questions, insurance issues, and/or
other concerns.
• Communicates with sales and service representatives from various companies.
• Maintains and updates office policies and procedures in collaboration with the Director of
Physician Services and Physician Practice Administrator.
• Updates and maintains all office equipment, electronic billing systems, and computer software.
• Stays current with company Policy and Procedures and is responsible for updating other
employees.
Knowledge/Skills/Abilities/Expectations:
• Proficient in Microsoft Office.
• Excellent verbal and written communication skills with great attention to detail.
• Medical terminology.
• Ability to collaborate effectively with a diverse range of team members and both internal and
external customers.
• Proficient in physician practice billing, with a solid understanding of coding, insurance
programs, and the pharmacy and insurance pre-authorization process.
• Knowledge of basic banking and accounting.
• Demonstrated ability to multitask, strong organizational skills, and a proactive self-starter
mentality.
• Knowledge and current skills to operate the following office machines: telephone, computer,
electronic billing, calculator, copy machine, fax machine, patient charts, medical and nursing
equipment, and electronic medical record (EMR).
• Approximate percentage of time required to travel: 5%
• Must read, write and speak fluent English.
• Must have good and regular attendance.
• Performs other related duties as assigned.
