Bachelor’s Degree in Sports Administration or related field and four (4) years of related work experience with collegiate athletic program or equivalent combination of education and work experience. Valid driver's license must be insurable by University insurance carrier. Knowledge of NCAA rules and regulation. Ability to travel and work nights, weekends and holidays required. CPR and First Aid Certification. Grade 6 (Salaried)

Position Description:

This Athletic Operations Program Manager I (Director of Operations, Swimming & Diving) directs the day-to-day operations of the University of Louisville swim and dive program. This includes team travel, purchasing, meals, special events, marketing, social media, community service, internal communications, external communications, relationships with alumni and parents, and assistance with matters pertaining to compliance and recruitment.

Essential Duties And Responsibilities

  • Game/event responsibilities: execute and disseminate all event game contracts; coordinate travel, payment, and communication with all game hosts/sites; serve as point of contact for visiting teams. Coordinate game day operations with marketing, facilities, sports information, officials, timers, and game management staff when applicable.
  • Coordinate all team travel and coaches' travel. Execute all vendor contracts related to team travel, handle hotels, team meals, and transportation.
  • Assist in recruiting visits (e.g., meals, hotel, activities, tours).
  • Primary point of contact with business office; responsible for all pro-card reconciliations, personal and coaches travel reimbursements, purchase orders, monthly budget reconciliations, accounts receivable, disbursements, etc.
  • Reconcile, project, and monitor team budget.
  • Assist with team operations within Teamworks, meetings, schedules, incidental and recruiting meals, and practice times.
  • Utilize Teamworks software for team communication.
  • Utilize ARMS software to schedule team travel.
  • Travel with the team at the discretion of the Head Coach.
  • Implement the team’s dietitian’s direction for the daily dietary needs, meets, and post-season competition.
  • Serve as one of the liaisons to Athletics Compliance; promote an atmosphere of compliance within the program through strict adherence to NCAA, ACC, and university rules and regulations through monitoring of program activities, active involvement, and commitment to continuous rules education, timely submission of compliance-related documents, and immediate reporting of any knowledge of potential rules violations involving self or others.
  • Assist in sports information, marketing, and social media operations of the program.
  • Coordinate all special events for the team (swim/dive retreat, team building activities).
  • Manage sport-specific donor club and serve as the point of contact for the club.
  • Assist with alumni databases and communicate regularly with alumni to increase engagement.
  • Assist in the coordination of coaching staff to meet required compliance paperwork deadlines.
  • Assists in coordinating all required paperwork for incoming student-athletes and assists in the admissions process (National Letter of Intent, NCAA eligibility certification & clearinghouse, campus housing liaison, university admissions process, etc.
  • Assist in gear ordering, distribution, and tracking through equipment manager.
  • Purchase office supplies and equipment needed for the team.
  • Assist the Director of Natatorium with laundering towels, general maintenance requests, and reviewing the natatorium’s monthly budget approval.

Preferred Qualifications

  • Working knowledge of Microsoft Office.
  • Effective administrative and organizational skills and the ability to prioritize time-sensitive tasks and projects according to deadlines.
  • Effective verbal, written, and interpersonal communication skills.
  • Training in online budget management systems (PeopleSoft & Workday).
  • Training in online team tracking software (e.g., Teamworks, ARMS).
  • Compensation will be commensurate to candidate experience.
