The Arlington County Sheriff’s Office is seeking a Medical Administrative Assistant to join the Medical Unit at the Arlington County Detention Facility (ACDF). This position is responsible for performing a wide range of administrative and clerical duties that support the effective and efficient delivery of healthcare services within the correctional facility. This role contributes to the effective delivery of healthcare by serving as a key support resource for medical staff, custody personnel, and outside providers.

Specific Duties Include:

  • Maintaining, updating and securing electronic and paper medical records in compliance with HIPAA, facility policy, and regulatory requirements;
  • Scheduling medical, dental, and mental health appointments;
  • Coordinating outside specialty referrals and transportation with custody staff;
  • Providing clerical support to healthcare providers and nursing staff, including preparing correspondence, forms, and reports;
  • Assisting with medical intake processing for new arrivals and preparing discharge paperwork for inmates leaving the facility; 
  • Entering clinical and administrative data into the electronic medical record system and generating required reports for internal and external use;
  • Serving as a point of contact between medical staff, custody personnel, and outside providers/agencies to facilitate timely care;
  • Assisting in ensuring compliance with facility policies, ACA/NCCHC standards, and state/federal healthcare regulations by maintaining documentation and HR related clinical education, licensure and competency files; and
  • Supporting the inventory management of office and medical supplies for the healthcare unit.

The ideal candidate will possess one or more of the following: 

  • Ability to work independently according to standard procedures and/or instructions and the direction of the Health Service Administrator;
  • Effective written and verbal communication skills for interaction with medical staff, custody personnel, and outside providers;
  • Problem-solving and critical thinking skills to resolve scheduling conflicts and documentation issues; and/or
  • Attention to detail and accuracy in data entry, record-keeping, and reporting.

Minimum Qualifications:

  • Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent; and
  • Some experience providing administrative support.

Substitution:  Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement. 

Desirable Qualifications: Preference may be given to candidates who possess an Associate’s Degree or coursework in healthcare administration, medical office management, or related field and experience in one or more of the following:

  • Providing administrative support in a medical environment;
  • Healthcare documentation standards and medical record management;
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic medical record (EMR) systems; and/or
  • Skilled in navigating CoreEMR (electronic medical record) software and secure communication platforms.

Special Requirements

EPI Assessment: To be considered for this position, you must achieve a passing score on the Employee Preferences Inventory (EPI) Assessment. Please note the following:

  • Scores are valid for one calendar year.
  • You cannot retake the assessment until one year has passed since your last attempt.
  • If you have completed the EPI within the past year, you do not need to retake it.
  • If you have not taken the EPI during the past year, you will receive an email with instructions and a deadline for completing the assessment.
  • Failure to complete the EPI by the deadline provided to you in email will disqualify you from this recruitment process.

Candidates must successfully complete a character background investigation (which includes a polygraph examination), and a drug screening. The background investigation is conducted by the Sheriff’s Office.

Additional Information

Work Hours and Schedule: The work schedule will normally consist of 8 hours per day, Monday-Friday, from 8:00 AM to 4:30 PM.
