Position Overview

Job Summary:

Report to the Director of the Military & Veterans Resource Center (MVRC); the Assistant Director is a critical partner and point of contact for maintaining and processing student education benefits for qualifying students and their dependents. This individual will have a range of responsibilities to ensure compliance, reporting, and support for university requirements as well as Department of Defense and Veterans Affairs requirements. Additionally, the Assistant Director will be responsible for developing and delivering student programs and services to support retention and degree completion for this population. Responsibilities of the position include but are not limited to:
Certifying enrollment status and compliance.

Billing for tuition assistance through various programs and systems.

Supervising VA work-study students.

Building and maintaining student programming and assessing effectiveness and outcomes.

Assisting with campus-wide and community events.

Providing guidance and support for academically struggling students.

Keep and maintain data and data integrity for reporting, compliance, and planning.

Ability to work occasional nights and weekends required to support student events and programs required.

Travel for professional development, training, and other college-related functions required.
Performs other related job duties or services to the university as assigned.

Minimum Qualifications:

Masters degree in an appropriate area of specialization and two years of appropriate experience: or a bachelors degree in an appropriate area of specialization and four years of appropriate experience.

Position Qualifications:

Master's degree in an appropriate area of specialization and two years of appropriate experience: or a bachelor's degree in an appropriate area of specialization and four years of appropriate experience. Supervision, leadership, and management skills to effectively motivate and lead a medium size group of staff members to excel in their role as transition coaches and veterans counselors. Initiate making daily decisions as needed to ensure the MVRC operates at the highest professional level possible. State and federal laws and guidelines related to education, veterans administration (GI Bill administration), etc. UWF enrollment process. Customer service methodology and techniques. General knowledge of each military branch's unique education programs and how to read their transcripts (AART, SMART, CCAF). Skills: Demonstrate a high level of accuracy in preparing and entering information with an emphasis on attention to detail. Excellent interpersonal skills and time management. Team building, decision-making, analytical, and problem-solving skills. Effective verbal and listening communication skills. Very effective organizational skills. Computer skills, including spreadsheet, word processing, and e-mail, at a highly proficient level.

Preferred Qualifications:

Prior military service. Master’s degree plus 4 years experience.
Prior Department of Veteran Affairs School Certifying Experience (SCO)
• Skill in advising and counseling.
• Experience with Banner, VAONCE/Enrollment Manager
• Experience in Student Accounts, Financial Aid, and/or Records and Registration.
• A minimum of one year of supervisory experience and a successful record of supporting and motivating staff as well as student workers.
• Experience in the field of veteran services.
• Military service with an honorable discharge.
• Excellent verbal and written communication skills, critical thinking, and problem-solving capabilities, and to be independently motivated.
• The position requires demonstrably strong planning, organizational, and management skills, attention to detail, and the ability to effectively manage multiple and competing deadlines.
• Ability to collaborate with administrators, faculty, and staff to facilitate and improve services.
• Ability to work both in a team setting as well as independently.
• Ability to work effectively with a diverse student population.
• Ability to read and interpret data correctly.
• Ability to read, interpret, and apply local, state, and federal policies correctly.

Essential Functions/Job Duties:

  • 50% - Responsible directly to Director, MVRC, for supervising all office operations and procedures to ensure organizational effectiveness and efficiency and maintain the highest standard of customer service. – Supervise all office staff and VA work-study students – Design, implement, and evaluate office policies – Provide oversight for mentoring coordinator – Review student records to determine classification academic status, mentoring, and tutoring needs. – Recruit and select transition coaches (VA work-study students) – Assign and monitor transition coach functions – Orient and train transition coaches (customer service, GI Bill certification process) – Provide on the-job and other training opportunities – Coach and discipline transition coaches – Serve as the primary point of contact with local, regional, state and federal DVA agencies for audits, information and communication. – Establish and maintain rapport with the Department of Veteran Affairs and State Approving Agency representatives for student education benefit problem resolution. – Supervise audits of enrolled students who are using GI Bill Education benefits for attendance and academic standing. – Liaise with faculty members to clarify and resolve discrepancies with courses and degree plans, preventing course certification. – Liaise with campus offices and departments as needed to assist veteran students, such as admissions, academic advising, financial aid, VSOC, cashier and bookstore. – Maintain and submit VA approval requests for current UWF undergraduate and graduate catalogs annually. (approved degree and certification programs) – Make appropriate decisions in the best interest of the MVRC in the Director’s absence - (Essential)
  • 10% - Responsible directly to Director, MVRC, for outreach and orientation of new students – Process transient student forms as needed for students desiring to complete academic course work at other institutions for transfer back to UWF. (Advises students, staff, and faculty of procedures for processing requests, deadlines, and academic policies related to university degree requirements for graduation and transfer of credit.) Certifies and completes transient student forms to accurately reflect residency, academic status, and compliance with immunization requirements – Support area bases transition program for service members leaving active duty (TAP programs). – Coordinate with the UWF orientation director to support all new veteran students through the orientation process – Design preliminary outreach concept - (Essential)
  • 30% - Responsible directly to Director, MVRC, for certification of funding for students using GI Bill Education benefits (as the UWF Veterans Affairs Certifying Official) and coordinating transition assistance services. – Process certification applications, validate eligibility requirements and certify educational benefits provided by the Department of Veteran Affairs (DVA). – Review student records to determine hours of enrollment and fee payment dates. – Notify appropriate DVA office of changes in student status. – Maintain currency on all DVA rules, regulations and reporting requirements regarding GI Bill education benefits. – Gather data, generate and submit required semester reports to the Department of Veteran Affairs. – For all prospective and current veteran students, coordinate the following transition assistance services; Counsel for veterans transitioning from the military back to school regarding all available options. Liaise with applicable offices/departments on campus to provide support for veteran students (health and wellness counseling, tutoring, academic advising, resume writing, etc.) GI Bill education benefits application assistance o UWF degree program enrollment assistance Mental/physical health counseling referral - (Essential)
  • 10% - Other duties as assigned - (Essential)
