Team And Structure

The HR Operations team delivers services as part of the Payroll, Benefits & HR Operations Centre of Excellence (COE), supporting employee lifecycle activities including onboarding, data management, offboarding, payroll preparation, absence management, compensation and benefits administration, and general HR system support (e.g., Workday).

The HR Operations Administrator will work closely with and provide support to the HR Operations Specialist, ensuring day-to-day HR processes are delivered accurately, efficiently, and in compliance with company policies. This role focuses on transactional HR activities and first-line support, enabling the HR Operations Specialist to concentrate on more complex cases, process improvements, and projects.

Reporting to the AVP, HR Operations Manager, the HR Operations Administrator will deliver professional HR administration services to employees across the UK, Switzerland, and the Netherlands, with exposure to other regions and entities within the group (ARe, AIH & UK Retail).

Core Responsibilities

First Line Support:

  • Act as the first point of contact for HR-related queries via email, phone, and HR systems (e.g., ServiceNow, once implemented).
  • Provide timely, accurate, and customer-focused responses to employees and managers.
  • Escalate complex queries to the HR Operations Specialist or HR Operations Manager as appropriate.

Responsible for administration, data entry and document fulfilment for the following services and processes (inclusive but not limited to):

  • ONBOARDING & OFFBOARDING
  • Manage background checks through our background check provider.
  • Carry out regulatory reference requests.
  • Coordinate new joiner paperwork and ensure Workday updates are completed.
  • Support induction activities to deliver a smooth new starter experience.
  • Process leaver administration, including system updates, exit documentation, and record closure.
  • WORKFORCE ADMINISTRATION AND EMPLOYEE LIFECYCLE
  • Process personal data changes, job changes, secondments, and probation confirmations.
  • Prepare HR documentation (e.g., employment letters, addendums, salary review mail merges).
  • Handle employment verification and reference requests.
  • Support compliance with right-to-work checks and end-of-contract processes.
  • Coordinate leaver administration, including exit documentation and system updates.
  • Support HR Ops Specialist with Immigration related admin
  • DATA & FILE MANAGEMENT
  • Maintain and update accurate employee records in HR systems.
  • Update and maintain the HR Operations Tracker.
  • File and archive employee contracts, addendums, and HR letters in line with GDPR and company policy.
  • Generate routine HR reports and trackers to support the HR Operations Specialist.

  • COMPLIANCE & AUDIT
  • Ensure documentation and records are maintained in line with compliance requirements.
  • Ensure personnel files are complete and compliant (e.g., right-to-work, background checks).
  • Support regulatory checks (e.g., FCA/SMCR if relevant).
  • Keep up to date with document retention requirements under GDPR.
  • Assist the HR Operations Specialist in preparing documentation for internal and external audits.
  • PAYROLL PREPARATION SUPPORT:
  • File, and archive employee contracts, addendums, and HR letters.
  • Collate and verify data changes for payroll processing (e.g., new hires, leavers, salary changes, allowances).
  • Provide accurate payroll input for review by the HR Operations Specialist before submission to Payroll.

INDIVIDUAL EDUCATION, QUALIFICATION & SKILL SET

  • Previous HR administration experience preferred, ideally in a multinational environment.
  • Strong customer service orientation, with professionalism, integrity, and confidentiality.
  • Excellent verbal, written, and interpersonal communication skills.
  • High attention to detail, accuracy, and organizational ability.
  • Strong time management skills with ability to handle multiple tasks and meet deadlines.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Team player with strong collaboration skills and willingness to support colleagues.
  • Ability to adapt in a fast-paced and changing environment.

NB - candidate required to attend London office once a month only.
