Tasks – Activities – Responsibilities
- Switchboard
- Answer and route telephone calls
- Take and forward the information to the relevant departments.
- Reception:
- Greet visitors and direct them to appropriate person or department
- Provide information and assistance to clients and customers
- Schedule appointments when requested
- Maintain conference room schedules.
- Administration:
- Record and keep all company documens/certificates in order and safety.
- Order and deliver stationeries upon request of the Departments.
- Apply visa/passport/temporary resident card for employees and company guest if required.
- Arrange company car, taxi card, grab car, business card, car/motorbike parking.
- Make monthly report and payment request for expenses like: car, taxi, grab, phone, courier, namecard, office hygiene items…
- Work directly with the accounting department to control all the monthly expenses above.
- Manage office admin fee/petty cash for other expenses such as office equipment repair, coffee & tea, snacks for pantry,
- Work directly with vendors and track payment times to maintain office services.
- Support to manage the Aon Insurance Claim Form.
- Support for some company events (weekly/monthly/yearly): Health Check, Year End Party, Outing trip…
- Coordinate and support admin tasks for M&O Manager.
- Perform ad hoc duties as requested Manager.
- Perform other duties as requested by TA Manager.
- Our job performance is within the framework of the BV Quality Assurance System, QHSE policy, Codes of Ethics and BV Group’s policies and procedures.
Job Qualifications
- Diploma degree;
- Computer literacy is compulsory.
- Careful and hard working.
- Experiences in admin works such as office management, car, hotel and air ticket booking.
