We are seeking a Legal Assistant, Business Law - Corporate M&A, to independently manage the daily activities of the lawyers’ practices and other tasks for the Business Law practice group in our Toronto office

To be successful in this role, you must take pride in keeping practices organized with the ability to thrive in a share team. You possess excellent written and verbal communication skills, quick turnaround time, a keen eye for detail and a professional attitude. Some Corporate experience is a definite asset.

Key Responsibilities:

  • Managing all administrative tasks, including email/calendar management, coordinating and scheduling client meetings, updating calendar based on conflicts and urgent changes; proactive and timely responsive to client enquires
  • Handling accounting, trust funds, billing processes (i.e. file openings, conflict searches, dockets, credit limits, invoices, trust summaries, expenses, filing documents in DMS etc.).
  • Managing volumes of filling and file organization; electronic and paper.
  • Assist with the preparation of corporate documents, letters, closing agendas, and full assistance on transactions.
  • Providing assistance to group billing support.
  • Sending in-person and virtual (Zoom, Webex, MS Teams) meeting invites and coordinate the logistics (IT, catering, documents, etc.) for client meetings.
  • Communicating in a professional manner with clients, lawyers and other team members.
  • Other duties as assigned.

What You'Ll Bring:

  • Community College Certificate/Diploma in a Legal Assistant program and/or equivalent experience working in a legal professional environment.
  • At least 3 years' experience as a Business Law/Corporate Legal Assistant.
  • Strong organizational, prioritizing, multi-tasking, sound judgement and time management skills.
  • Excellent proofreading skills (ability to check typed material for grammatical.typographical, spelling, word usage, and format errors).
  • Ability to work independently, follow instructions with minimal supervision, take initiative.
  • The ability to communicate with high-profile clients and the ability to maintain confidentiality and diplomacy at all times.
  • Strong problem solving skills.
  • Willingness to adapt and contribute to the team.
  • Looking for advanced IT skills.
  • Corporate M&A experience will be considered an asset.
