Job Description

The Senior Project Manager – Client Services plays a critical role in managing complex analytical projects from initiation through delivery, ensuring they meet client expectations, regulatory standards, and internal quality benchmarks. Acting as the primary liaison between clients and cross-functional teams, this individual oversees all aspects of project execution including scoping, scheduling, documentation, reporting, and financial follow-up while maintaining strong client relationships and identifying opportunities for growth.

This role requires a seasoned professional with deep industry knowledge, exceptional communication skills, and proven experience managing technically complex projects in a fast-paced, deadline-driven laboratory environment.

Key Responsibilities:

Project Setup & Documentation

  • Create new projects in LIMS and ensure accurate setup of all project details, including client accounts and project-specific notes (e.g., reporting requirements, invoicing instructions).
  • Review and upload all relevant project documentation (permits, SOWs, QAPPs, purchase/task orders) into the central repository.
  •  Verify that laboratory compound lists and analytical limits meet project requirements and enter any project-specific limits into LIMS.
  • Manage purchase orders, contracts, change orders, and client profiles in collaboration with finance and operations.

Deliverables & Data Management

  • Confirm deliverable assignments and reporting formats; coordinate EDD development or customization as needed.
  •  Monitor project status and data quality through LIMS; ensure deliverables meet client, accreditation, and internal standards.
  •  Review and issue final reports and data packages according to client requirements and deadlines.

Client Relationship Management

  • Serve as the primary point of contact for assigned clients, providing proactive communication, updates, and technical guidance.
  • Respond promptly and professionally to client inquiries, escalating issues as necessary and following through to resolution.
  • Support business development efforts by preparing quotes, proposals, and follow-on project opportunities.
  • Participate in client meetings, presentations, and strategic discussions as needed.

Cross Functional Leadership & Coordination

  • Act as a liaison between clients, sales, laboratory operations, QA, and finance to ensure alignment on goals and deliverables.
  •  Lead project kickoff meetings and key milestone reviews to ensure clarity of scope and expectations.
  • Coordinate technical support resources, media shipments, and specialized project requirements.

Project Execution & Quality Oversight

  • Manage projects end-to-end — from contract execution through post-project evaluation — ensuring scope, budget, and timelines are met.
  • Ensure variance tables, project requirement tables, and other pre-lab documentation are accurate and complete before work begins.
  • Monitor project performance and client satisfaction, implementing process improvements where needed.

Invoicing & Financial Responsibilities

  • Confirm invoicing details and data delivery routes prior to project completion.
  •  Review and approve final invoices for accuracy; issue credit/debit memos and revised invoices as necessary.
  • Partner with the collections team on A/R follow-ups and monitor accounts receivable status to ensure timely payment.

Client Onboarding & Setup

  • Communicate laboratory capabilities and service offerings to new clients in collaboration with the Client Services Manager.
  •  Evaluate new quote requests for alignment with client needs and laboratory capabilities.
  •  Review client contract terms and purchase orders for accuracy and compliance.
  • Submit and follow up on purchase orders and client credit terms.

Account Maintenance & Relationship Management

  • Conduct proactive follow-ups to strengthen client relationships and identify new needs.
  • Submit and track client complaints, participate in corrective actions, and follow up as needed.
  • Communicate significant client issues to management and sales, collaborating on solutions.
  • Provide technical support directly to clients and coordinate with internal experts on complex inquiries.
  • Maintain strong familiarity with company capabilities and service offerings to identify growth opportunities.
  • Forward new opportunities and leads to sales and actively request follow-on work.

Quotes, Proposals & Regulatory Coordination

  • Lead or support the development of quotes and proposals, ensuring alignment with project scope, client expectations, and regulatory requirements.
  • Manage QAPP reviews with Operations, QA, and subcontract laboratories to ensure readiness and compliance.

Other Responsibilities

  • Perform other duties as assigned by leadership.

Qualifications

Education:

  • Bachelor’s degree in Environmental Science, Chemistry, Engineering, or a related field.

Experience:

  • Minimum 5+ years of project management experience in an environmental laboratory, consulting, or related industry.
  • Experience managing complex client accounts and delivering multi-phase analytical projects
  • PMP or similar project management certification is a plus
  • Familiarity with EPA and Toxic Organic methods and regulations
  • Demonstrated ability to handle large complex projects and programs with demonstrated success in client satisfaction.
  • Prefer 1+ years bench Chemist experience in air analysis or field experience.
  • Knowledge of federal, state, and local air quality regulations (EPA, CARB, NESHAP, MACT) and their implications for analytical projects.
  • Familiarity with air testing methods and environmental laboratory workflows.
  • Familiarity with ISO 17025, TNI, DoD ELAP, and other quality standards relevant to environmental laboratory operations.
  • Understanding of key financial principles such as invoicing, AR management
  • Demonstrated success in nurturing client relationships, identifying cross-selling opportunities, and contributing to revenue growth strategies.
  • Ability to work effectively with technical operations, QA, field services, sales, and finance teams to deliver seamless client experiences.
  • Professional working proficiency in English is a requirement, including the ability to read, write and speak in English.
  • Authorization to work in the United States indefinitely without restriction or sponsorship.

Additional Information

Compensation Range: $70,000 - $80,000 per year depending on experience and qualifications.

Position is full-time, exempt from overtime pay with a schedule of Monday - Friday, day shift.
