The Admin and Finance Assistant play a key role in supporting the smooth functioning of financial operations and administrative activities within the company. The position ensures that accounting records, office administration, and logistics are handled efficiently, in compliance with company policies and Nepal’s accounting and tax regulations.
Key Responsibilities:
1. Financial Management
- Record daily financial transactions (sales, purchases, payments, receipts) in accounting software (e.g., Tally).
- Prepare and process vouchers, invoices, and journal entries.
- Maintain cash and bank books, ensuring proper reconciliation at the end of each month.
- Assist in preparing monthly financial statements, expense reports, and budgets.
- Handle petty cash and ensure proper documentation of expenses.
- Support in payroll preparation, ensuring accuracy in salary calculation, TDS, SSF, and other deductions.
- File and maintain records for VAT, TDS, and other tax compliances in coordination with auditors or external consultants.
- Support the finance team in client billing and follow-up for payments.
- Support annual audit processes and maintain accurate supporting documents.
2. Administrative Support
- Manage day-to-day office operations, including correspondence, filing, supplies, and logistics.
- Handle procurement of IT equipment, office supplies, and vendor management following company policies.
- Coordinate travel, accommodation, and event logistics.
- Maintain and update employee attendance, leave records, and HR documentation.
- Support in onboarding new employees
- Assist with inventory management of IT assets.
- Manage service contracts, such as internet, utilities, maintenance, and insurance renewals.
- Ensure confidentiality and data security in handling financial and personnel information.
3. Coordination and Reporting
Liaise with banks, vendors, and government offices (e.g., IRD, SSF) for financial and administrative matters.
Qualifications And Experience
- Education: Bachelor's degree in Business Administration, Accounting, or Finance.
- Experience: At least 1–3 years of experience in finance and administration; experience in the IT or tech industry preferred.
· Skills:
- Strong command of MS Office (Excel, Word) and accounting software (Tally, Rigo etc.).
- Understanding of Nepal’s tax system (VAT, TDS, SSF, PAN) and financial regulations.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize under minimal supervision.
- Team player with a proactive attitude.
