Purpose:

We are currently recruiting for a Administrative Assistant II. Our team includes world class experts and dynamic go-getters. This is a full-time position based in Mississauga, Ontario.

Responsibilities:

  • Welcomes visitors and new employees while providing safety onboarding.
  • Being responsible for setting up workstations and ensuring the functionality and hygiene of office spaces and equipment.
  • Communicate space availability and supports employees with desk needs.
  • Facilitate office renovations and changes as needed.
  • Technological support for tech-related issues in the office, including managing equipment at flex stations and server rooms, through connection with IT department.
  • Manage inventory for office supplies while handling vendor management tasks.
  • Manage freight invoices and assist with Ceridian cheque distribution and bank deposits.
  • Report any office deficiencies and janitorial services required as needed.
  • Manage the security system.
  • Facilitate Contractor Management.

  • Responsibility for communications from building landlords and activities, through to tenant communications.
  • Supports SAP activities as needed.
  • Ownership for data management of FS&RE OPEX activities.
  • Participate in various committees such as JHSC, EH&S, and DE&I.
  • Responsibilities also include planning site events, conducting ergonomic audits, and acting as Mississauga Site Floor Warden during emergencies.
  • General support through FS&RE in Mississauga and Kingston as needed.
  • Organizational abilities for multitasking.
  • Proficiency in SAP and data management platforms like Power BI is a preferred asset.
