About the RoleWe’re looking for a Operations Manager — someone with broad business acumen, strong financial understanding, and hands-on operational expertise — to work closely with the business owner to bring structure, systems, and strategic foresight into the company.
This is not a status quo role. We need someone who can take critical tasks off the owner’s plate, create reliable systems, and pre-empt issues before they happen. Work Schedule:
Mondays to Fridays - 9:00 AM - 6:00 PM Victoria time, with one hour daily unpaid break in between the hours
Key Responsibilities
1. Operational Management
- Oversee day-to-day business operations to ensure smooth workflows across departments.
- Implement principles, processes, and systems to improve business efficiency and scalability.
- Act as the owner’s right hand in decision-making and operational execution.
- Manage and support the customer service team to ensure excellent customer experiences.
- Monitor performance and continuously improve response times, quality, and service standards.
- Manage relationships with our G3PL warehouse partner to ensure accuracy, timeliness, and cost-effectiveness.
- Oversee inventory control, WMS software usage, and stock movement accuracy.
- Ensure stock integrity, reporting, and replenishment are well managed.
- Lead freight and logistics planning, including domestic and international shipping.
- Review freight and warehouse costs regularly to ensure efficiency and cost control.
- Negotiate and liaise with logistics providers to maintain optimal service levels.
- Conduct regular cost reviews and support budgeting, forecasting, and cash flow planning.
- Contribute financial insights to support strategic decision-making.
- Leverage accounting or finance expertise to enhance business performance tracking.
- Oversee social and environmental compliance reporting to meet sustainability goals.
- Ensure compliance requirements are met consistently and reported accurately.
- Identify potential challenges before they arise and propose proactive solutions.
- Build and refine business processes that drive consistent, reliable outcomes.
- Work with leadership to scale operations in alignment with business growth.
- Bachelor’s degree in Business Administration, Accounting, Finance, or related field (Accounting background preferred).
- Minimum 5+ years of operations or business management experience, ideally in retail, eCommerce, or logistics-heavy industries.
- Proven experience managing cross-functional teams and implementing systems in small to mid-sized businesses.
- Strong understanding of financial management, logistics, and warehouse operations.
- Excellent communication, leadership, and problem-solving skills.
- Tech-savvy, with proficiency in inventory/WMS systems and general business tools.
- A strategic doer — you think ahead and execute with precision.
- Comfortable working closely with founders in lean environments.
- Thrive on bringing order to chaos and turning ideas into structured, repeatable processes.
- Financially literate and confident making cost-related decisions.
- Passionate about sustainability and ethical business practices.
- Not afraid to get your hands dirty while also steering the big picture.
