On-Site Solutions is comprised of Facilities, Document Management and Hospitality, aiming to provide a comprehensive and excellent onsite workplace experience to our people and our clients. The Facilities, include Property Management and Critical Systems Management, ensure our properties and the critical MEP infrastructure are operated and maintained to the highest standards of reliability and efficiency to support business operations.  The Hospitality supports delivery of Reception, Conference, Catering and Ground Transportation Services and to provide consistent client experience in Mumbai align to regional and global standards and operating protocols. The Document Management Group (DMG) supports delivery of Presentation, Production, Translation and Mail Services. 

Team & Role Overview

Property Management is responsible for managing the day-to-day operation of the firms owned and leased real estate assets across India. In addition to managing the operation of existing assets, the team is also focused on enhancing workplace experience, service delivery, process development and reviewing architectural and FF&E design standards in support of new assets. The team works closely with the balance of On-Site Solutions, Environmental and Social Governance (ESG), Real Estate Development and Planning teams to deliver solutions that maximize the efficiency and productivity of our people.  

This position reports to the India Head of Property Management and will be responsible for management and oversite of the following: 

  • Responsible for all aspects of property management including budgeting, sustainment, maintenance, cleaning, client satisfaction and quality to ensue these are conducted in accordance with the lease and local statutory requirements. Work with CWS regional and global teams to establish and review property management functions and implement cost effective strategies to meet the firm’s business requirement.
  • Ensure the critical MEP infrastructure supporting business operations is operated and maintained to the highest standards of reliability and efficiency and in accordance with the firm’s global engineering policies and procedures for office, trading floors, and data centers
  • Lead hard and soft services (MEP/HVAC, preventive/corrective maintenance, housekeeping, utilities, security, mailroom).
  • Ensure statutory compliance, asset uptime, comfort standards, and vendor performance.
  • Provide requirements and guidelines for critical system design and operational provisions for all new construction, expansion and reinstatement projects
  • Be available 24/7/365 in the event of incidents or crises. Provide crisis management support to identify potential/immediate impacts, restore operational capabilities and institute required safeguards 
  • Evaluating and communicate any risk with potential to impact facility operations resulting from external or internal events, and ensure that appropriate resources and processes are utilized to mitigate risk of business interruption. 
  • Develop and maintain relationships with key client stakeholders at multiple levels within the organization. Interact with key stakeholders and clients on timely issue resolution and operational improvements.

  • Partner with Workplace Experience to resolve issues and drive continuous improvement.
  • Execute daily readiness reviews across visitor, conference, café, and facilities touchpoints.
  • Identify and communicate operational risks; coordinate mitigation to avoid business interruption.
  • Collaborate across On-Site Solutions to enrich the workplace experience for facility occupants and guests by delivering a seamless operation that works at scale, tailored to the location and individual.
  • Manage the onsite vendors providing property management ensuring that all work is performed in accordance with the firm’s policies.
  • Analyze contract provisions and requirements to ensure contracts are executed in accordance with outlined service level agreements.
  • Analyse and ensure contract execution per SLAs and compliance obligations.
  • Develop and manage annual operating and capital budgets for property management services.
  • Maintain documentation for audits, statutory permits, and certifications.
  • Support in developing and managing the annual operations and capital budgets for all facilities relating to property management 
  • Hospitality management 
  • Visitor management and Conference centre: Oversight end-to-end guest journey, uphold hospitality standards and SLAs; optimize throughput and wait times while maintaining data privacy compliance.
  • Vendor governance
  • Oversight of confirmation to firm policies, SOPs, and SLAs by onsite vendors 
  • Participate and contribute in governance routines (MBR/QBR), audits and performance reviews.
  • Contracts, budgets, and compliance
  • Analyse and ensure contract execution per SLAs and compliance obligations.
  • Develop and manage annual operating and capital budgets for property management services.
  • Maintain documentation for audits, statutory permits, and certifications.
  • Design, Projects, and FF&E
  • Partner with Real Estate Development to define property management design and construction standards.
  • Represent Facilities in FF&E requirements for new builds and expansions.
  • Participate in planning, design reviews, and selection of sustainable FF&E assets.
  • Risk and incident management
  • Evaluate risks from internal/external events; implement resilience measures.
  • Assist in managing critical incidents, vendor escalations, and post-incident reviews.

SKILLS AND EXPERIENCE WE ARE LOOKING FOR

Basic Qualifications

  • Bachelor’s degree in engineering, facilities/property management, hospitality, or related field.
  • 5+ years of experience in facilities/property/workplace operations, including vendor management and multi-site coordination.
  • Proven experience overseeing at least two of: visitor management, conference centres, café/food services, facilities hard/soft services.
  • Strong budgeting, contract administration, and SLA governance experience.
  • Proficiency with CAFM/CMMS, BMS, visitor management systems, room booking, and AV/VC ecosystems.
  • Data-driven mindset; ability to build and interpret operational dashboards and KPIs.
  • Excellent stakeholder management, communication, and incident management skills.
  • Strong vendor management and client engagement skills
  • Innovative mindset that is acutely focused on improving the workplace experience 
  • Ability to write reports, develop presentations, and communicate concepts to management personnel is essential 
  • Proficient with the suite of Microsoft Office software
  • Skilled in time management and the ability to prioritize tasks.
  • Excellent critical thinking and problem-solving skills.

Preferred Qualifications

  • Experience in banking/financial services or similarly regulated environments.
  • Exposure to ESG programs, sustainability metrics, and waste reduction initiatives.
  • Certifications: PMP/Prince2, IFMA, IWFM, LEED/WELL, FSSAI awareness (for café oversight), or equivalent.
