Team Intro:
The USDS Real Estate team is responsible for managing over 800,000 sq. ft of existing real estate across 3 global regions, and delivering new spaces as business needs arise. This includes planning, acquiring, designing, constructing, managing, and administering real property. We optimize these processes through constant space planning and forecasting leading to cost-benefit analysis. We leverage market trends to create plans and implement strategies that develop and maintain a profitable real estate portfolio.
In order to enhance collaboration and cross-functional partnerships, among other things, at this time, our organization follows a work schedule that requires employees to work hybrid in the office 3 days a week, or as directed by their manager/department. We regularly review our work model, and the specific requirements may change at any time.
Responsibilities:
- Manage all facets of project management for multiple real estate projects from concept to completion, including planning, design, construction, occupancy and closeout to meet the annual construction program for the portfolio.
- Participate, develop, and administer the company’s design, design plans, construction lists, and construction program for office construction and remodeling from planning through activation and occupancy.
- Develop and implement comprehensive budgeting and project scopes of work including fixture plans and detailed specifications for all assigned construction projects.
- Develop, implement, and drive project scheduling including specific dates for all contractor and vendor work to be started and completed.
- Present to internal leadership, cost managers, end users, and other key stakeholders for approval.
- Lead multi-disciplinary teams to appoint and manage a variety of external teams including project managers, designers/architects and MEP consultants.
- Initiate, develop, and process all consultant scopes, RFPs, awards, contracts, purchase orders and operational change order requests and invoices.
- Manage general contractors, subcontractors, and vendors through job site meetings and correspondence, including meeting minutes.
- Administrate consultant performance, including adherence to project scope, quality of work, and adherence to design schedule.
- Make project recommendations on scheduling issues and change orders to control project costs and maintain project schedule
- Initiate, develop, and process vendor RFPs, awards, contracts, purchase orders and operational change order requests and invoices.
- Track and obtain all close out documents including as-builts, guaranties/warranties, etc. to ensure paperwork and permits are completed and filled out in a timely manner
- Evaluate existing and future facilities for ADA, EHS and sustainability standards & compliance as well as ensure follow-through and documentation, where applicable.
- Develop and implement process to follow-up on each project specific request, problem, and tracking report to monitor completion dates.
- Create project reports to track all job costs, change orders, and budgets.
- Conduct regular job walk visits and inspections to verify contractor progression on projects.
- Communicate regularly and timely with, and provide assistance and guidance to departments regarding planning and construction dates, and current and past issues
- Assist in developing capital budgets for new sites and remodels based on historical records, key business insights, and market benchmarking.
