Associate Director Medical Event and Program Planning
The Associate Director of Medical Event & Program Planning reports to the Head of Customer Experience & Collaboration and plays a pivotal role in establishing a standardized approach to congresses and events within assigned therapeutic areas. This position enhances our presence in the medical community and ensures the delivery of impactful experiences that differentiate us from competitors.
As the primary point of contact for internal and external stakeholders, the Associate Director liaises with cross-functional teams to ensure alignment within their assigned Therapeutic Areas (TAs). Working closely with the Director of Medical Congress and Professional Society Planning, the Associate Director is responsible for setting the overall strategy, fostering internal communication and collaboration, and defining the vision for medical congress and professional society engagements. This includes ensuring that the organization is effectively represented at these events.
Your Tasks And Responsibilities
The primary responsibilities of this role, Assoc. Director Medical Event & Program Planning, are to:
Standardize Event Planning Processes:
- Execute standardized processes and best practices for planning and executing congresses and medical events across therapeutic areas.
- Create and maintain a comprehensive toolkit for assigned TAs that includes templates, guidelines, and checklists to streamline event planning for the team.
- Ensure adherence to Bayer Brand standards in all aspects of event execution.
Cross-Functional Collaboration:
- Manage stakeholder engagement through collaboration with internal stakeholders, across Bayer including Medical Affairs, Marketing, and Commercial teams, to align event objectives with organizational goals.
- Serve as the Therapeutic Area (TA) liaison to engage with assigned TAs to understand their specific needs and tailor events accordingly.
- Act as the primary point of contact for assigned TAs ensuring clear communication and collaboration throughout the planning process
Congress Strategy Development:
- Assist leadership in defining strategic goals for participation in key congresses and events, focusing on enhancing visibility and engagement.
- Work with internal and external (Maritz) meetings teams to ensure timely execution based on both strategic and logistical needs, clear communication and annual planning
- Identify potential sponsorship opportunities and manage relationships with sponsors to enhance the visibility and impact of events.
Budget Management & Reporting:
- Implement orientation plan for all roles to ensure appropriate staffing of all events in partnership with medical/commercial colleagues
- Analyze event budgets post-execution to assess financial performance and provide insights for future planning.
- Establish metrics to evaluate the effectiveness of congresses and events, including attendee feedback, engagement levels, and return on investment (ROI).
- Prepare post-event reports summarizing key insights and recommendations for future events.
Logistics Coordination & Content Development:
- Oversee the logistical aspects of congresses and events, including venue selection, vendor management, and on-site coordination for each assigned Therapeutic Area.
- Ensure compliance with relevant regulations and guidelines throughout the planning and execution process.
- Collaborate with subject matter experts to develop engaging content and presentations for congresses and events.
Evaluation And Reporting:
- Establish metrics to evaluate the effectiveness of congresses and events, including attendee feedback, engagement levels, and return on investment (ROI).
- Prepare post-event reports summarizing key insights and recommendations for future events.
- Gather and analyze feedback from attendees and stakeholders to identify areas for improvement in event planning and execution.
- Stay updated on industry trends and best practices in congress and event planning to enhance the company’s approach.
- Develop contingency plans to address potential risks or challenges that may arise during the planning and execution of events.
- Research and propose innovative ideas and best practices for event planning and execution to enhance the overall attendee experience.
Who You Are
Bayer seeks an incumbent who possesses the following:
Required Qualifications:
- Bachelor’s degree.
- Experience in planning and executing congresses and events within the pharmaceutical or healthcare industry.
- Strong project management skills with the ability to manage multiple events simultaneously.
- Excellent communication and interpersonal skills, with a focus on collaboration and stakeholder engagement.
- Proficient in using event management software and tools.
- Knowledge of regulatory requirements and compliance considerations in the pharmaceutical industry.
- Strong analytical skills with the ability to evaluate event performance and make data-driven recommendations.
- Strategic Thinking: Ability to develop and implement long-term strategies for congress participation that align with organizational goals.
- Operational Execution: Strong skills in executing event logistics and managing the operational aspects of congress planning.
- Collaboration Skills: Ability to work effectively with cross-functional teams and build relationships with internal and external stakeholders.
- Attention to Detail: High level of attention to detail to ensure all aspects of event planning and execution meet company standards.
- Problem-Solving Skills: Strong problem-solving abilities to address challenges that may arise during event planning and execution.
- Adaptability: Flexibility to thrive in a fast-paced environment, with the ability to respond to changing priorities and demands.
- Project Management: Proficient in managing multiple events simultaneously while adhering to deadlines.
Preferred Experience:
• 5 years’ experience in planning and executing congresses and events within the pharmaceutical or healthcare industry
Employees can expect to be paid a salary of between $133,558 – $200,337. Additional compensation may include a bonus or commission (if relevant). Additional benefits include health care, vision, dental, retirement, PTO, sick leave, etc. This salary range is merely an estimate and may vary based on an applicant’s location, market data/ranges, an applicant’s skills and prior relevant experience, certain degrees and certifications, and other relevant factors.
