The Senior Billing Coordinator will be responsible for assisting in all phases of client billing. This includes matter opening assistance, prebill review, bill & eBill preparation, records management, financial reporting, analysis of client bill appeals, tracking outstanding issues for resolution and high-level issue resolution including engagement of internal and external stakeholders. This role requires an intricate knowledge of the billing & eBilling workflows, Firm billing processes, the relevant systems and stakeholders. As a Senior member of the Billing Team, you will be relied upon to deliver support and training to other Billing Team members and be called upon as a billing subject matter expert to assist with projects and/or questions.
Major Responsibilities
- Reviewing prebills and working with Osler Partners to issue bills & eBills
- Track, follow-up and handle any billing related issues or delays
- Handle client billing inquiries
- Provide regular reporting to the Management Team to track progress on efforts and ensure all pending tasks are handled in a timely manner
- Create training materials and provide insights to internal stakeholders
- Being actively involved in any billing process improvements including implementing and testing of system enhancements
- Provide back up and support for other Billing Team members during absence and vacation
- Provide technical billing support and guidance to internal and external stakeholders
- Acting as subject matter expert for billing and provide training to new Team members
- Maintain accurate client and matter records to ensure future billing success
- Review of client billing guidelines to ensure the Firm is complaint with the guidelines
- Train timekeepers and legal assistants on the Firm’s various billing software tools
- Provide expert-level support for assigned Legal Assistants and Partners as it relates to billing
Position Requirements
Education And Experience
The position requires university degree or college diploma in a business discipline and a minimum of 3 years of billing, finance or accounting experience is required. Experience in a legal billing environment is preferred. Knowledge of CMS/Aderant, eBillingHub, Prebill Viewer, and PowerBI software products are an asset. An equivalent combination of education, training and experience may be acceptable.
Knowledge And Skills
- Strong proficiency in Microsoft Office products, primarily in Microsoft Word, Outlook, and Excel
- Experience with ERP systems (ex. CMS/Aderant, Thomson Reuters Elite)
- Experience providing excellent service in a deadline-driven environment
- Excellent communication and problem-solving skills are required
- Ability to interact with senior members of the Firm
- Attention to detail, organization and time management skills along with the ability to balance daily work
- Analytical ability to identify issues and drive resolution results
We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
