Candidate Profile And Focus:

We are seeking an experienced payroll professional to perform payroll operations, ensuring compliance with federal, state, and local regulations. This role will be responsible for managing payroll processes, monitoring vendor tax reporting, and multi-state compliance, while partnering with HR and external vendors to deliver accurate and timely payroll services.

The ideal candidate will bring proficiency with ADP Smart Compliance and experience with multi-state payroll. Experience processing payroll through Workday is highly desired.

Key Responsibilities:

  •  Willingness to perform the most effective role.
  • Fully manage biweekly payroll processing for U.S.-based employees, ensuring accuracy and timely submission through the company’s HRIS platform, Workday
  • Audit and reconcile timesheets, wage adjustments, benefit deductions, new hires, terminations, and time-off entries.
  • Coordinate with museum managers to ensure accurate and timely reporting of hours worked and payroll adjustments for hourly staff.
  • Partner with the Controller to ensure payroll journal entries, tax filings, and related financial data are accurate and properly documented.
  • Respond to and resolve payroll-related employee inquiries.
  • Monitor ADP Smart Compliance Payment Solutions for errors and resolve as appropriate.
  • Maintain compliance with multi-state payroll laws, including wage and hour regulations, garnishments, and reporting requirements.
  • Partner with HR to align payroll processes with benefits, accounting, and workforce planning.
  • Serve as the primary point of contact for external payroll providers, auditors, and government agencies
  • Utilize ADP Smart Compliance for payroll tax management, reconciliations issue resolution, and wage garnishment compliance.
  • Drive process improvements, automation, and system enhancements to increase payroll accuracy and efficiency.
  • Maintain payroll policies, procedures, and internal controls to ensure audit compliance.
  • Assist with monthly closing activities.
  • Assist with annual audit activities.
  • Assist with other Accounting projects as requested.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred (or equivalent work experience).
  • 3+ years of payroll management experience in a multi-state environment desired.
  • Strong expertise with ADP Smart Compliance is required.
  • Workday payroll experience strongly desired.
  • Solid experience with payroll tax reporting and compliance at federal, state, and local levels.
  • Knowledge of multi-state payroll compliance and wage and hour laws.
  • Exceptional attention to detail, problem-solving, and analytical skills.
  • Strong communication skills with ability to partner across departments and present complex information clearly.
  • Proven ability to manage confidential information with discretion.

  • Must be able to use hands and fingers to type on a keyboard, use a laptop and other office equipment.
  • Must be able to properly express oneself, exchange information, communicate and converse with diverse cultures, races, and sexes.
  • Must be able to use sight to detect, determine, perceive, observe, inspect, and assess situations.
