This Role Elevates The Workplace Experience Through Exceptional Service, Support, And Hospitality As The Primary Point Of Contact For Employees, Visitors, And Clients, Ensuring A Welcoming, Efficient Environment That Aligns With Organizational Goals.
For this role in Budapest specifically for the first few months of the contract the main floor of the site won’t be open, therefore, employees will have opportunity to get to know site from Backoffice perspective and be fully prepared and ready for the role once the main floor will be opened after refurbishment.
Key Responsibilities
Guest Experience & Client Management
- Deliver exceptional hospitality through professional welcomes, comprehensive visitor management (vetting, check-in, escort), and proactive relationship building that anticipates needs and exceeds expectations while maintaining high workplace visibility
- Manage reception operations including multi-line phones, scheduling, meeting coordination, and prompt response to requests while developing expertise in local amenities for visitor assistance
- Collaborate seamlessly across departments (IT, facilities, catering, security) providing first-level AV/technology support, coordinating third-party vendors, and delivering creative solutions while leading workplace events and employee engagement initiatives
Operations & Safety Excellence
- Partner with facilities management and soft services providers to maintain optimal workspace conditions through systematic assessments, Gemba walks, and SLA compliance monitoring while implementing workplace SOPs and client-specific standards
- Execute comprehensive security and safety protocols including contractor verification, emergency response coordination with EHS (not as first responder), access control, visitor badging, building alarm monitoring, and weather-related communications
- Support maintenance operations through work order review, vendor coordination, and facility tours (office locations only) while ensuring regulatory compliance and performance optimization
Innovation & Continuous Improvement
- Document and proactively act on feedback to continuously improve workplace experiences
- Support event planning, reporting, and performance metrics analysis
- Implement and monitor service standards to consistently exceed expectations
Required Qualifications
Education & Experience
- Bachelor's degree in Business Administration, Hospitality, or related field preferred with 2-3 years customer service, hospitality, or facilities management experience
- Corporate workplace services or commercial real estate background preferred
Technical & Core Skills
- Proficiency in Microsoft Office Suite, visitor management systems, and workplace technology platforms with basic AV equipment knowledge
- Good communication skills in English (additional languages advantageous), outstanding customer service abilities, strong problem-solving acumen, and proven multitasking proficiency in diverse, international business environments
Personal Attributes & Requirements
- High discretion with sensitive information, flexibility for changing priorities, collaborative yet independent work style, and positive, solution-oriented attitude under pressure
- Professional appearance suitable for executive interactions with ability to stand for extended periods, lift 25 pounds, and maintain flexible scheduling for events
- First Aid/CPR certification preferred; emergency response and safety training will be provided
