Responsibilities;
- Prepared Modern Trade/Key Account Payment Summary Reports and emailed them to sales teams; managed payment voucher downloads customers.
- Compiled and maintained a detailed invoice list for Modern Trade/Key Account deductions (A&P and TTA), including downloading supporting documents and tracking SPPF numbers.
- Monitored B2B e-invoice submissions to ensure timely processing; keyed in missed invoices to avoid delays.
- Tracked ageing reports for Modern Trade/Key Account, identifying missed invoices and unresolved credit notes (goods return); ensured accurate and up-to-date receivables records.
- Performed clearing and matching transactions in the system to eliminate disputes; ensured clean ageing reports post-clearing.
- Issued and updated credit notes in the system to resolve disputes and maintain account accuracy.
- Generated and reported ZBCR (A&P and TTA Discounts) claims for Modern Trade/Key Account on a weekly basis.
- Submitted B2B invoices for customer payments in accordance with billing cycles.
- Monitored Modern Trade/Key Account accounts, focusing on payment ageing and claim deductions (SPPF tracking).
- Provided customer Statements of Account upon request, ensuring accuracy and timely delivery.
- Created new vendor profiles in the Landesk system and maintained accurate records.
- Updated and tracked e-invoice records to comply with internal and external audit requirements.
- Assisted in releasing blocked orders by coordinating approvals from Managers, Senior Managers, and Credit Control Committee (CCC) members.
Requirements;
- Diploma in Business Administration, Finance, Entrepreneurship, Marketing, or equivalent.
- Minimum 3 years of working experience in a related field.
- Experience in sales and sales operations, preferably within the Fast-Moving Consumer Goods (FMCG) industry.
- Proficient in English and Bahasa Malaysia (written and spoken).
- Fast and accurate typing skills with the ability to handle large volumes of data efficiently.
- Proficient in Microsoft Office applications (Word, Excel, Outlook) and familiar with common office equipment (e.g., printers, scanners).
- Ability to maintain well-organized filing systems, manage records, and ensure proper document handling.
- Strong verbal and written communication abilities with excellent customer service orientation.
- Attention to Detail: High level of accuracy in data entry, document proofreading, and error checking.
- Capable of managing multiple tasks effectively and meeting tight deadlines.
