Job Summary:

An exempt, management position responsible for leading and directing assigned medical practice daily operations and financial success.

 

Essential Job Duties:

Business Planning, Initiative Design and Execution, Strategic Planning

  • Supports Directors in developing organizational strategic plans and objectives based upon identified needs of patients, the health network, and providers.
  • Participates in GSPN Organizational Initiatives.
  • Supports Director in outreach and marketing activities.

Financial Management

  • Supports development of annual budget. 
  • Manage expenses to ensure that they are within budget. 
  • Selects, purchases and expenses necessary supplies for the practice.
  • Manages Payroll, Overtime and PTO.  Reaches out to clinical and front desk staffing pools for resources as needed.
  • Interacts with sales representatives from medical and pharmaceutical companies.

Revenue Cycle Management

  • Ensures that all patients are pre-registered and insurance coverage is checked. 
  • Ensures all encounters are completed within policy timelines.
  • Ensures collections are completed within GSPN guidelines.
  • Hires and trains new employees in revenue cycle activities.

Practice Operations

  • Manages the daily operation of the organization by implementing the budget and supporting policies/procedures. 
  • Incorporates weekly rounding into oversight activities.
  • Ensures that the office opens and closes on time and enforces lunch breaks for staff.
  • Responsible for the timely processing of patient referrals.
  • Oversees appointment templates and patient scheduling to ensure efficient patient flow. Works to maximize the "Fill Rate" or "Utilization Rate" of the schedule by ensuring open slots are filled (with multiple techniques including use of wait lists, double booking, etc.).
  • Ensures compliance with certification guidelines and organizational policies for the practice and all employees (including OSHA, HIPAA, FMLA, Rural Health, etc.). 
  • Monitors and maintains high-quality patient service and satisfaction.
  • Responsible for reviewing month-end management reports.


Staff and Performance Evaluation

  • Manages assigned practices and supervises all caregivers, including Front Desk and Clinical Staff.
  • Sets staff schedules and approves time off.
  • Resolves conflict among staff members and collaborates with their Director in managing provider conflicts.
  • With the support of the Director, handles staff discipline and dismissals.
  • Completes annual evaluations of staff. At minimum, provides feedback and documents performance for staff members quarterly.
  • Holds practice meetings monthly, with minutes and attendance.
  • Organizes staff training sessions, celebrations, and office-wide events.
  • Collaborates with Director in setting up provider schedules and daily implementation.



Meetings & Other Duties

  • Conducts monthly staff meetings, including providers, and rounds with each Practice.
  • Participates in GSPN Management Meetings and Town Halls.
  • Attends monthly 1:1 with providers.
  • Conducts weekly huddles with each practice.
  • Serves as Task Force / Project team lead as assigned
  • All other duties as assigned.

Minimum Qualifications:

  • Education – Preferred: Bachelor’s degree in Business or related Healthcare field.
  • Experience – Minimum 2 years’ experience in practice operations.
