Job Duties

The Virginia Department of Motor Vehicles is seeking a Document Imaging Manager for a position with its Data Management Services administration in Richmond, VA.

Reporting to the Deputy Director for Data & Records Services, this position is the first line supervisor that leads a team of document imagining specialists in support of DMV's document retention obligations. This position interacts with management, technical staff, and internal customers to ensure applications and supporting documents are properly imaged and archived in accordance with agency policies and procedures.

The Document Imaging Manager also oversees the Quality Assurance Review (QAR) of scanned documents and assists staff with the correction of improperly imaged or indexed documents. This position ensures the efficient and timely delivery of services in a high-volume DMV unit through the coordination of staff resources and equipment, to include scheduling and monitoring the work of the unit. It is responsible for performance management functions, guides and directs staff in the completion of work, coordinates and conducts training as needed, and consults with appropriate personnel to resolve computer system malfunctions. The Document Imaging Manager keeps management apprised of the status/progress of unit and efforts to improve workflow and meet work unit goals.

Minimum Qualifications

•Supervisory/management experience relating to the job duties of this position.
•Considerable knowledge of office procedures and equipment and automated and manual filing systems.
•Experience in planning, organizing and managing diverse teams.
•Experience in setting goals for staff and managing their performance.
•Experience in developing and providing reports, to identify deficiencies and make recommendations for training staff.
•Experience maintaining storage of records and working with enterprise content management.
•Experience with document imaging equipment.
•Ability to work under pressure in a high-volume environment, handle multiple responsibilities and interact with various levels of staff.

Additional Considerations

•Working knowledge of state agency records management requirements under the Virginia Public Records Act.
•Significant experience working with OnBase or another enterprise content management product preferred.
