Position Overview

Job Summary:

The Facilities Management Coordinator is responsible for managing projects with divisional and university-wide impact related to facilities planning, maintenance, and space utilization. This position ensures that campus spaces occupied by DAESA are welcoming, safe, and effectively support the needs of students, staff, and community stakeholders. The Coordinator serves as the primary liaison with UWF Facilities and external vendors on renovation projects, deferred and preventative maintenance, and other facility-related initiatives.

In accordance with UWF Human Resources Policy HR-20.02-09/15, Recruitment, Selection, and Appointment, a time-limited appointment is a position funded by contract and grant, auxiliary, or local fund, for a project for a specific period. A time-limited position shall have the same rights as a regular position except that the position is not entitled to notice of separation at the expiration of the appointment and shall not have layoff and recall rights.

Minimum Qualifications:

Master's degree in an appropriate area of specialization with one year of relevant experience or a bachelor's degree in an appropriate area of specialization with three years of relevant experience.

Position Qualifications:

Microsoft Windows operating systems, and other common office software programs. Knowledge of and ability to develop, recommend and manage a budget. Ability to utilize project management, Event Management Scheduling (EMS), and other relevant software.

Preferred Qualifications:

Master’s degree in a related field of study and two years of experience or a bachelor's degree in a related field of study and four years of related work experience. Experience managing student-use facilities on a college campus. Experience overseeing facility small and large-scale renovations and construction projects. Ability to develop, interpret and implement policies and procedures. Experience assessing operations.

Essential Functions/Job Duties:

  • 50% - DAESA Facility Management Serve as primary liaison for DAESA with UWF Facilities Management and Maintenance for minor and major project requests for facilities and spaces. Serve as liaison to Housing and Residence Life on facility issues. Provide regular updates on facility issues and plans to DAESA VP. Recommend facilities-related procedures and solutions, taking into account budgets, space allocation, staffing and infrastructure design. Coordinate phases of facilities minor renovation, deferred maintenance, and preventative maintenance projects. Oversight of facility work orders and maintenance requests. Monitor space utilization within DAESA. May serve as liaison with external vendors contracted for facility needs or maintenance, not covered by UWF Facilities. Manage large-scale moves and space requests for DAESA departments to include coordination with UWF Space Management, Facility Maintenance, and DAESA’s technology support services. Develop and recommend Standard Operating Procedures (SOPs) for facility use and maintenance. Maintain DAESA VP golf cart. - (Essential)
  • 30% - Facility Planning and Assessment Contribute to divisional strategic planning, including creating short and long-term goals related to space management and utilization. Facilitate budget planning to accomplish goals. Oversee the Capital Improvement Trust Fund request and allocation process. Serve as liaison for DAESA-funded project implementation. Collaborate with UWF Facilities to ensure feasibility of Green Fee and CITF project proposals and obtain estimates for relevant projects. Oversee DAESA’s space allocation and attractive asset reporting. Conduct regular space and facility assessments to ensure DAESA spaces are welcoming and safe. Monitor progress towards goals and assess DAESA spaces and facilities based on best practices and standards. Consult with DAESA departments regarding funding requests related to facility needs. Maintain division-wide furniture and furnishing standards. - (Essential)
  • 10% - Emergency Response and Planning Provide timely response to campus emergencies and update DAESA VP as needed regarding status of DAESA spaces. Contribute to divisional emergency planning and plans for continuity of operations. Assist DAESA departments with emergency planning. - (Essential)
  • 10% - Contribute to other University and division-wide priorities. Other duties as assigned. - (Essential)
