Daily Tasks:

  • Accurately process and expedite customer sales orders, ensuring timely updates and proactive communication regarding order status.
  • Prepare comprehensive quotations and provide clear pricing details along with realistic lead times to facilitate informed purchasing decisions.
  • Maintain a vigilant approach to workplace safety, actively identifying and mitigating risks within operations.
  • Respond promptly to customer inquiries, demonstrating urgency and a solutions-oriented mindset to resolve issues efficiently.
  • Utilize advanced tracking systems to monitor order progress and shipment logistics, ensuring transparency and customer satisfaction.
  • Manage multiple priority tasks simultaneously, employing excellent organizational skills to meet deadlines.
  • Communicate effectively and professionally in written and verbal formats with customers, vendors, and internal teams to coordinate activities and address concerns.
  • Oversee the release and coordination of shipments, verifying compliance with company policies and high-quality standards.
  • Apply knowledge from parts catalogs and technical drawings to provide accurate assistance and advice to customers.

Weekly Tasks:

  • Administer customer credit and adjustment processes with precision and attention to detail.
  • Support logistics by participating in loading and unloading freight, inspecting goods for damages, and reporting discrepancies.
  • Operate warehouse equipment safely, including manual power hoists, dollies, lifts, and forklifts, adhering to operational standards.
  • Monitor open order reports consistently to identify and resolve bottlenecks and expedite order completion.
  • Actively engage in weekly safety meetings, contributing to continuous improvements in health and safety practices.
  • Review and validate freight bills to ensure accurate costs and control expenses.
  • Manage inventory thresholds by assessing stock levels and coordinating adjustments to maintain optimal supply.

Monthly Tasks:

  • Compile and analyze in-transit stock locator reports to maintain clear visibility on inventory movements.
  • Generate transport order open reports to oversee pending deliveries, ensuring timely fulfillment.
  • Partake in monthly safety meetings fostering a culture of safety awareness and compliance.
  • Provide after-hours on-call support to the parts department, securing uninterrupted service for customers.
  • Collaborate with the purchasing team to assist in procurement activities that align with operational demands.

Occasional/As Needed:

  • Conduct onsite visits to mining operations and customer locations to strengthen partnerships and address service needs.
  • Offer backup support for procurement activities in the absence of the Buyer, ensuring seamless purchasing operations.

Qualifications/Requirements

  • High School Diploma or equivalent educational credential is required; additional formal training or certifications in logistics or supply chain management are advantageous.
  • Demonstrated experience ranging from 4 to 8 years in materials management, inventory control, or customer fulfillment within the heavy equipment, industrial, or related sectors.
  • Proficiency with Microsoft Office Suite, including Excel for data analysis, Word for documentation, and Outlook for professional communication.
  • Expert user knowledge of industry-specific software such as CDK and SAP, with the ability to efficiently manage order processing, inventory monitoring, and detailed reporting functions.
  • Strong commitment to adhering to occupational health and safety standards to uphold a safe and compliant workplace.
  • Exceptional organizational abilities to balance multiple responsibilities while meeting tight deadlines and maintaining accuracy.
  • Effective and clear communication skills, adaptable to interact professionally with diverse groups including customers, suppliers, colleagues, and management.
  • Physical capability to perform warehouse duties, including operating heavy equipment safely, conducting thorough inspections of shipments, and participating in manual handling tasks.
  • A proactive attitude toward continuous learning and adaptation to evolving technologies, processes, and business practices within the company.
