Overview:
This role is a critical, highly collaborative, team-based role with the potential for growth. The Coordinator, Human Resources supports the work of the HR Team by coordinating, scheduling, and documenting training, recruitment, onboarding, and offboarding, and creating new-hire and enrolment packages.
This role provides significant support for recruitment activities, including posting positions, coordinating interviews, pre-employment checks and testing, reference verification, and distribution of onboarding documentation.
Future development opportunity: This role would suit a strong administrator who works well with the team. As the Coordinator grows and develops in the role, there is the opportunity for enhanced duties and functions within the team.
This role is based in Maxville, Ontario, at the Company’s head office and is an in-office role 5 days per week.
Responsibilities:
Recruitment And Selection
- Creates job advertisements within the accepted format, placing each posting with designated recruitment sites.
- Posts each new position internally and on the company’s web site.
- Arranges interviews and corresponds with candidates as required.
- Prepares letters of response where required.
- Obtains and conducts reference validation.
- Schedules and confirms appointments for testing.
- Creates employment agreements.
Onboarding And Development
- Prepares and distributes welcome packages for new employees.
- Works with managers and the IT department to set up technology as required.
- Assigns training classes.
- Works with Payroll to ensure new employees are accurately set up.
Benefit Administration
- Creates benefit enrolment packages and delivers benefit enrolment presentations as required.
- Responds to employee questions.
- Ensures accurate completion of required paperwork and waivers, where required.
Human Resources Administration
- Maintains confidential employee files, filing all employee-related materials promptly and per legal and privacy standards.
Employee Communication and Information
- Enrolls employees on the employee portal, training, and recognition sites.
- Updates the employee portal with new information as required.
Employee Engagement Programs
- Works with the team to plan, communicate, and administer employee engagement activities, e.g. Fall – Driver Appreciation Week. Winter – Holiday Party/Programs,. Spring – Admin Professionals Event. Summer – BBQ/Baseball.
Other
- Other duties as may be reasonably required and are commensurate with the role and the development of the Coordinator.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED TO BE SUCCESSFUL:
- Post-secondary education in Administration, Business, or a similar field.
- A high degree of Administrative and Coordination experience is required, with the ability to accurately follow established instructions and procedures, but also adapt to ad hoc requests.
- Excellent communication skills via email and telephone.
- The ability to efficiently juggle multiple priorities and demands to a successful completion.
- A strong customer service mindset - always exhibits exemplary professionalism to internal and external customers.
- Must be a self-starter and proactive, able to identify gaps and seek opportunities for improvement.
- Effective time-management skills.
- The ability to demonstrate integrity and confidentiality is essential.
- Strong skills in the use of the Microsoft suite of software are required.

- The ability to communicate fluently in both official languages is an asset.
