Your Challenge:
As the Senior Executive Assistant to our CFO, you will play a pivotal role in helping one of our most strategic leaders operate at their highest level of impact. This is far more than calendar coordination — you’ll be the operational backbone of the Office of the CFO, ensuring that time, communication, and priorities are optimally managed across a fast-paced, high-growth environment. You’ll work in lockstep with our CFO and partner closely with senior leadership, investors, external partners and teams across the business. Your work will be central to the rhythm of the company, and your discretion, judgement, and proactive mindset will set the standard for excellence in executive support.
This role is based in Berlin with in-office presence expected 4 days per week. We are looking for someone who thrives in complexity, sees the details others miss, and can operate calmly and confidently, even in high-stakes settings.
Your Responsibilities:
- Prepare high-quality internal and external communications including memos, decks, meeting notes, briefings, and presentations, often working closely with finance, corporate development, legal, and comms teams.
- Coordinate seamless travel and logistics, including itineraries, accommodations, visas, and event planning for offsites, board meetings, and key leadership gatherings.
- Strategic coordination of CFO activities such as meetings, ensuring alignment across the leadership team and wider organization.
- Partner with key functions including Finance, Corporate Development & Strategy, Legal, People and Product to keep critical workstreams running smoothly.
- Handle sensitive information with discretion and professionalism, acting as a role model for operational excellence and confidentiality.
- Continuously explore and implement AI and automation tools to enhance productivity, communication, and decision-making efficiency.
- Serve as the primary point of contact for scheduling and time management, acting as a strategic gatekeeper and trusted advisor on how the CFO’s time is invested.
- Own and manage the CFO’s calendar, prioritizing meetings and commitments based on business goals and impact across multiple stakeholders and time zones.
Your Profile:
- You bring at least 6 years of experience supporting C-level executives in dynamic, high-growth, or investor-facing environments — ideally with exposure to G&A, finance, tech, or scale-up contexts. Experience with Investor Relations is a plus.
- You thrive in complexity and are highly skilled at creating clarity and momentum across shifting priorities.
- You have strong synthesis and communication skills and can confidently create or shape executive materials and decks.
- You're known for your calm, grounded presence and intentional communication style, even in fast-moving or high-stakes situations.
- You possess excellent judgment, a proactive mindset, and a deep sense of ownership — nothing slips through the cracks on your watch.
- You’re fluent in English and German, both written and spoken, and equally comfortable engaging with senior leaders, board members, and external stakeholders.
- You’re based in Berlin and available for in-office presence 4 days a week.
- You are AI-curious and excited to adopt tools and workflows that boost your effectiveness, not just keep things running.
