Role Summary

As a Benefits & Leave Specialist, you will be responsible for the day-to-day administration and case management of leave of absence. In this role, you will ensure the accuracy and correct application of plan provisions and legal guidelines. You will also serve as a subject matter expert on benefits policies and processes (medical, dental, life, disability, FSA, HSA, 401(k), and ancillary products). In partnership with departments such as Risk Management, HR Business Partners, and Legal Counsel you’ll help to support consistent and compliant leave and benefits administration.
Key Responsibilities
- Administration and the daily coordination of leave of absence programs, including FMLA, ADA, Worker’s Compensation, Short-and Long-Term Disability, and COBRA with external vendors, ensuring communications and tracking within required timelines.
- Work closely with Regional HR Managers, Legal, and Workers’ Compensation contacts to manage the leave process.
- Serve as the primary contact for employees, family members, and managers regarding leave policies, procedures, and benefits.
- Handle intake from managers, placing employees on Leave of Absence in the HRIS system, as well as creating and maintaining LOA case files.
- Create, administer, and track leave of absence cases through Timekeeping LOA Module and HRIS systems.
- Work with Payroll, including the administration of running reports via timekeeper and payroll portal, to track hours used/taken and verify that pay for employees is accurate and correct.
- Coordinate written LOA letters and monitor the timeline of receipt.
- Ensure compliance with federal laws (ERISA, FMLA, ADA, DOL, IRS, HIPAA) and company policies; maintain and update procedures and manuals accordingly.
- Manage reporting metrics and analytics for all leave cases.
- Liaison with medical, legal, human resources, risk management, and legal experts in the assessment of claims.
- Properly administer benefits according to the status of an employee’s leave of absence.
- Administer timely deposits and tracking benefit premium payments, as well as notification reminders to those leave participants who have not paid current.
- Coordinate retro/refund benefit premiums with payroll weekly and bi-weekly as applicable.
- Assist in the annual benefits open enrollment process, including communication, employee education, and technology support.
- Conduct benefits-related education sessions and training programs for employees and provide ongoing communication to keep employees informed about changes and updates to benefits programs.
- Ensure appropriate HIPAA Privacy laws are enforced by following proper recordkeeping and release of information procedures.
- Assumes other duties as assigned.
Required Qualifications
- Bachelor’s degree or equivalent experience.
- 3+ years of experience in leave of absence administration and/or employee benefits.
- Working knowledge of applicable federal, state and municipal regulations to ensure FMLA/ADA/Worker’s Comp regulatory compliance.
- Experience working with employees or customers to resolve complex issues.
Preferred Qualifications
- Certification in Benefits (CBP, CEBS, GBA).
Knowledge/Skills/Abilities
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rates, ratios, and percentages and to draw and interpret graphs.
- Frequent use of Outlook, Word, Excel, graphics, etc. Ability to create, maintain and incorporate functions into Word documents, Excel spreadsheets, databases, and PowerPoint presentations to support business objectives.
- Regularly use moderately complex oral and written skills. May train others in functional areas, interact with others and make presentations to department or middle management.
- Problems encountered are routine, somewhat repetitive and generally solved by following clear directions and procedures.
- Decisions impact the management and operations within a department or business unit. May contribute to business and operational decisions that affect the department.
- Results are defined; sets personal goals and determines how to achieve results with few or no guidelines to follow; supervisor/manager provides broad guidance and overall direction.
- Handle multiple tasks or projects simultaneously with moderate complexity.
Work Environment
- Work is primarily sedentary: must be able to sit for extended periods of time and use a computer, keyboard, and mouse, frequently.
- Travel may be required periodically, including overnight stays (contingent on position requirements).
- Must be able to lift up to 25 pounds.
