Executive Assistant to the Managing Director
Job Responsibilities
- Manage and organize the Director’s calendar, including scheduling meetings, appointments, travel (local and overseas), and daily activities.
- Coordinate with internal teams and external stakeholders to ensure smooth communication and timely follow-ups on key matters.
- Prepare high-quality presentations, briefing documents, and reports to support strategic decision-making.
- Maintain strict confidentiality in handling sensitive information and documentation.
- Accurately process oral and written instructions, take notes, and ensure prompt follow-up on assigned tasks.
- Draft, review, and circulate correspondence, meeting minutes, reports, and memos independently.
- Monitor and track commitments, pending tasks, and deadlines to ensure timely completion.
- Assist in organizing board meetings, project reviews, and company events, including logistics, invitations, and documentation.
- Coordinate comprehensive overseas travel arrangements such as visas, flight bookings, accommodation, itineraries, and expense reimbursements.
- Act as the primary point of contact for matters requiring the Director’s attention and represent the Director professionally when needed.
Candidate Profile
- Qualification on Management and/or Secretarial or relevant field.
- Minimum 3 years’ experience in a similar role
- Good command in English with excellent communication skills (written and verbal).
- Extremely detail oriented to ensure accuracy and quality across all tasks and able to complete tasks thoroughly and accurately with little direction.
- Excellent people skills and creative problem solving. Must be flexible and willing to work extra time during busy times.
- Must demonstrate a can-do attitude and demonstrate highest level of ethics. Ability to always maintain confidentiality with all situations and documentation.
