Join Our Team as an Apprenticeship Programme Coordinator (Pearson TQ)
Are you a detail-oriented experienced administrator with a passion for delivering exceptional service and supporting learners on their apprenticeship journey?
We’re looking for a proactive and organised individual to join our team and help coordinate and administer our Pearson TQ apprenticeship programmes.
As an Apprenticeship Programme Coordinator, you will be at the heart of our apprenticeship programmes, ensuring all administration runs seamlessly. You will be responsible for the smooth running of apprenticeship onboarding process and manage all programme administration tasks with precision. You’ll play a vital role in keeping our Learner Management systems updated and maintained accurately, to meet all compliance requirements.
Your Responsibilities Will Include:
- Manage, support and prepare all documentation relating to apprenticeship learners.
- Support the timely administration/processing of apprenticeship starts, change in circumstances, breaks in learnings, achievements and leavers, ensuring accurate records are maintained and sufficient evidence is readily available for audit.
- Manage the administration of the onboarding process of new apprentices, ensuring learners are enrolled timely, and any additional actions including compliance reviews, learners with RPL, learners working part time hours, etc are processed accurately and swiftly.
- Respond promptly and effectively to inquiries across various communication channels, ensuring exceptional customer service at all times. Liaise with relevant stakeholders and individuals to establish and maintain excellent working relationships within the customer and staff communities, including Heads of Departments and Skills Coaches.
- Manage Learner information (ILR), ensuring data including updates are accurately recorded in the LMS system (Aptem) and is compliant. Proactively identify and address data errors to maintain accurate records for funding purposes.
- Manage the Digital Apprenticeship Service (DAS), including creating/requesting Cohorts and changes to learners’ statuses. Ensuring DAS information and ILR data match and maintain excellent relationships with stakeholders.
- Confirm functional skills delivery for learners and liaise with the Functional Skills Team to ensure learners are started and achievements are processed in a timely manner.
- Assist with internal and external audits, inspections and self-assessment process as appropriate and to adhere the Company quality systems.
- Attend and contribute to team and other operational meetings, as required and for the dissemination of information and sharing good practice.
- Remain up to date with DfE funding rules and requirements.
What We’re Looking For
Essential:
- Exceptional administrative and organisational skills.
- Proficiency in Microsoft Office, especially Excel for data reporting.
- High attention to detail and accuracy.
- Excellent written and verbal communication.
- Ability to prioritise and manage time effectively.
- Previous experience in a training provider or awarding organisation.
Desirable:
- Experience using, Aptem and OneFile e-portfolio systems.
- Familiarity with Ofsted, ESFA, or DfE funding requirements.
- Previous experience in ILR management.
