At NOV, we are currently seeking a skilled and detail-oriented Documentation Specialist to join our Plant Projects department. This team is responsible for managing significant investments in machinery, including the acquisition of new equipment as well as the improvement and refurbishment of existing assets. As part of the broader manufacturing process team, this role will also provide essential support across various initiatives.

Key Responsibilities
- Promote consistency in document formatting, labeling, and version control, including the maintenance and distribution of templates.
- Manage and maintain the Document Management System (DMS), ensuring accuracy, security, and compliance across all documentation.
- Safeguard the integrity of key documents by overseeing proper revision control, placement, and accessibility.
- Identify opportunities for improving documentation practices and propose enhancements.
- Provide training and guidance to staff on document control procedures and systems.
- Participate in project meetings and accurately record detailed minutes.
- Serve as the primary contact for document-related inquiries from internal and external stakeholders.
- Support documentation efforts related to machinery and machinery projects, including. commissioning activities.
Qualifications & Skills
- Demonstrated experience in document control or a similar administrative or project coordination role.
- Strong organizational skills and attention to detail.
- Ability to manage high volumes of documentation while adapting to shifting priorities.
- Confident in engaging with team members to request, review, and improve documentation.
- Skilled in Microsoft Office applications.
- Strong time management skills and ability to meet deadlines in a dynamic environment.
- Excellent written and verbal communication skills.
- Familiarity with AI tools (Chat GPT or similar).
- Minimum educational requirement: High school diploma or equivalent.
Desired Qualifications:
- Familiarity with quality management systems and documentation standards (e.g., ISO).
- Proficiency in Danish and/or Portuguese.
- Experience in project reporting and documentation tracking.
- Experience in developing or reviewing professional presentations.
- Comfortable working within a matrix organization structure.
- Enjoys team collaboration and values social engagement in the workplace.
